Summary

The Adolescent Health Initiative (AHI), a program of Community Health Services (CHS) at Michigan Medicine works to transform the health care landscape to optimize adolescent health and well-being through practice improvement, education, research and youth and community engagement.  The AHI team works to ensure that their interventions provide evidence-based practice and prioritize care for youth across a wide spectrum of identities.  This includes but is not limited to racial and ethnic identities and their intersectionality, young people across socioeconomic statutes and religious backgrounds, young people with disabilities, expectant and/or parenting teens, lesbian, gay, bisexual, queer, transgender and non-binary youth, and any identity marker that impacts a young person?s experience as it relates to health. 

This position will provide administrative support for AHI?s nationally recognized programs and services in a hybrid format. The ideal candidate should have relevant experience providing administrative support and delivering exceptional customer service. Qualified candidates should possess strong organizational and communication skills. We are looking for an Administrative Assistant who enjoys working as part of a dynamic, interdisciplinary team and shares the AHI values of Collaboration, Diversity, Equity, & Inclusion, Expertise, Innovation, Quality, and Responsiveness.

Responsibilities*

  • Respond to email and phone inquiries regarding AHI?s programs, services, and events, as well as tracking requests.
  • Purchase supplies and keep track of department inventory.
  • Assist with reviewing materials prior to distribution and prepare materials for distribution through mailings.
  • Provide data entry support, including creating and entering online survey data, program rosters, and program evaluations.
  • Coordinate travel, venue, and catering for program-related events.
  • Provide scheduling assistance for in person and video/remote meetings or phone calls.
  • Prepare materials for meetings and trainings including trainee packets, nametags, and other program or presentation materials and take notes.
  • Assist with phone and online registration for AHI events.
  • Assist with preparing materials for Continuing Education (CEU) applications.
  • Assist the Community Health Services financial team with reconciling expenses and purchasing receipts.
  • Other duties as assigned.

Required Qualifications*

  • Associate degree or equivalent experience
  • Experience providing administrative support in a community-based organization, school, health department, clinic, or other relevant setting
  • Demonstrated ability to meet deadlines and achieve project objectives 
  • Demonstrated ability to work collaboratively as part of a team
  • Excellent communication and customer services skills  

Desired Qualifications*

  • Bachelor's degree in healthcare administration, organizational studies, or related field
  • Experience with online survey software such as Qualtrics or Survey Monkey
  • Experience using project management software, such as Asana or Trello
  • Microsoft Office Suite experience

Work Locations

This position may be eligible for remote and/or flexible work opportunities at the discretion of the hiring department.  Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
