About the Department

The Vector-borne Disease Diagnostic Laboratory is within the Department of Clinical
Sciences (DOCS), administered by the College of Veterinary Medicine at NC State University.

The focus of the VBDDL at NCSU-CVM is diagnostic services and research to benefit
animal health. It is our intention to provide quality answers to diagnostic questions.
The assays, antigens and controls used are developed and validated as a component of
our research.

Essential Job Duties

The primary role of the Operations Support Associate position will be to serve as a program associate for a veterinary diagnostic and research laboratory, the Vector-borne Disease Diagnostic Laboratory (VBDDL). The person in this role will ensure all administrative and laboratory workflow standard operating procedures (SOP) are correct and updated as needed for the VBDDL.

Specific duties of the Operations Support Associate position will include:
  • Results reporting and filtering emails to the appropriate person; 
  • Fielding phone calls, voicemails, and emails incoming to the laboratory email accounts; Communicating with veterinary professionals and collaborating scientists; 
  • Supporting administrative and organizational duties around samples submitted for diagnostic and research testing; 
  • identifying and communicating problems with sample submissions; 
  • Applying detailed knowledge of laboratory policies and SOPs to answer client questions and address complaints; 
  • Facilitating clinical consultations with laboratory directors; finding solutions to client problems and professionally communicating needs to appropriate diagnostic laboratory staff, research staff, billing staff, laboratory directors, or other CVM departmental staff; 
  • Utilizing laboratory information system software to organize and search data; 
  • Compiling and maintaining laboratory records, documents, and spreadsheets related to research, clinical or medical data, and other queries; 
  • Supporting research staff in data compilation and analysis; 
  • Managing migration of diagnostic laboratory and research laboratory documents to long-term digital storage following appropriate data security levels; 
  • Monitoring inventory of office supplies; 
  • Maintenance of office equipment; 
  • Ordering laboratory materials and supplies for ongoing research projects as directed by VBDDL PIs; Coordinating updates to laboratory websites and updating laboratory voicemail messages; Managing social media communications and client outreach; and 
  • Completion of other administrative tasks as assigned by laboratory manager and PIs.

Other Responsibilities

  • Following laboratory and administrative SOPs;
  • including working with minimal supervision or alongside laboratory staff to enter diagnostic and research test submissions into the laboratory information system;
  • informing appropriate research personnel of specimen arrival and facilitating appropriate storage and/or sample handling requirements;
  • Entering research laboratory accessions; 
  • Completing daily SNAP4DX Plus (rapid, point-of-care antigen/antibody test kits) testing; 
  • Performing general maintenance of the office and laboratory work space; and
  • Other duties as assigned by laboratory manager and PIs.

Minimum Experience/Education

Bachelor’s degree; or an equivalent combination of training and experience.
 
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications

  • Ability to multi-task and work cooperatively with others; 
  • Exceptional communication skills and professional behavior including the ability to communicate with others in
  • Laboratory and veterinary settings. Must be able to follow biosafety rules.

Preferred Qualifications

  • BS degree in Biomedical Sciences, Molecular Biology, Microbiology, Genetics, Biochemistry or other life science-related field; 
  • Experience with the following computer and software: Google Drives, Microsoft Office; Microsoft Excel; Orchard/UVIS, or other laboratory information systems; 
  • Experience interacting with veterinarians and scientists utilizing diagnostic services; 
  • Experience working in a research laboratory environment in Biology or a related field; 
  • Experience with Vector-borne pathogens.
