Position Summary
Position performs administrative duties related to the recruitment, onboarding, management and follow-up of postdoctoral trainees appointed to and/or mentored in the Department of Surgery, Division of Public Health Sciences.


Job Description

Primary Duties & Responsibilities

  • Serves as the primary contact and liaison for trainees, program leadership, faculty, staff, other departments and/or external contacts on day-to-day operation and administrative support of the trainees and the trainee program.
  • Coordinates and provides logistical support for seminars, training opportunities, meetings, conferences, workshops and special projects
  • Works closely with program leadership to help execute the strategic projects and priorities of the trainee program
  • Performs clerical and administrative support, including document creation, typing and editing of program correspondence, purchasing supplies, running reports, and calendar support.
  • Coordinates trainee travel arrangements, conference/course registration related to professional development using a University procurement card. Prepares expense reports for reimbursement according to guidelines.
  • Meets regularly with trainees to review program requirements and use of professional development funds
  • Collects and maintains the documentation and reporting requirements for the T32 training program
  • Monitors, routes and responds to email correspondence in the general inquiry mailbox
  • Coordinates regular meetings with program leadership: scheduling, preparing the agenda and minutes
  • Collaborate with marketing and communications to update and maintain postdoctoral job postings
  • Compile applications; provide applicant information to faculty; send correspondence to applicants; answer general questions on program/course.
  • Performs other duties as assigned

Preferred Qualifications

  • Bachelor’s degree.
  • Strong computer skills with experience using Microsoft Office Suite, including Word, Outlook, Excel, PowerPoint and Access.
  • Strong oral, written and interpersonal communication skills to deal effectively with a broad and diverse range of people.
  • Ability to work as part of a team or independently.
  • Ability to direct trainees, skills in organizing resources and establishing priorities, knowledge of finance and accounting.
  • Ability to coordinate and organize meetings and/or special events, writing and editorial skills, knowledge of communication principles, media and marketing techniques.


Required Qualifications

  • High school diploma or equivalent high school certification.
  • Two years relevant work experience.

Salary Range
$18.36 - $28.47 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
