Department Information

The Department of Pediatric Dentistry is comprised of 2 divisions: Predoctoral Pediatric Dentistry and Postdoctoral Pediatric Dentistry. The Department includes a Postdoctoral clinic located in Riley Hospital for Children and the Predoctoral Clinic is in the School of Dentistry on the IUPUI campus.


Job Summary

Department-Specific Responsibilities

  • Helps maintain Medhub, the residency program management tool for data collection and program administration; helps track Resident compliance tasks.
  • Creates faculty and resident hospital call schedules.
  • Coordinates schedules for internal and external speakers for resident seminars and lectures, including creating virtual links if necessary.
  • Coordinates meals as necessary.
  • Helps coordinate CODA activities, accreditation site visits, resident interviews with the Business Administrator and Program Director.
  • Helps to coordinate Resident onboarding/offboarding with Business Administrator and Program Director.
  • Maintains the program's outlook calendar for all resident activities and coursework.
  • Oversees and manages the department's externship program with guidance from the Program Director.
  • Maintains Canvas sites for department courses.
  • Works with Predoctoral Dental Students for their evening clinic elective rotation.
  • Prepares surveys as needed for various activities.

General Responsibilities

  • Provides administrative support to the department, such as managing calendars, answering phone calls, creating routine and confidential correspondence, drafting reports and presentations, and arranging meetings and conferences.
  • Schedules rotations and clinic hours for members, and may arrange extracurricular activities.
  • Counsels current and incoming residents on administrative issues such as scheduling, rotation requirements, benefits, and leave.
  • Coordinates activities related to recruitment, including events, screening, interviewing, reference checks, and orientation for candidates.
  • Maintains ongoing documentation with respect to accuracy, confidentiality, and accessibility.
  • Implements program improvement projects from initiation to execution.
  • Offers recommendations to improve program administration and/or the overall quality of care.
  • Participates in the planning and development of academic and clinical requirements to ensure that all accreditation standards are maintained.

Qualifications

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED)

WORK EXPERIENCE

Required

  • 4 years of experience in administration, office management, or program coordination

Preferred

  • Experience in a clinical or academic setting

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
