Position Summary/Purpose of Position:

This position will be evaluated on meeting broad program objectives and goals and will be granted wide latitude for independent judgement, decision making, and problem solving. The position serves as a Course & Classroom Scheduling Specialist, responsible for scheduling courses, course sections, classroom, and final exams, and for maintaining and updating all corresponding data in the university’s Student Information System (SIS). The specialist is part of a cross-functional team providing a high level of academic support services to a variety of populations, including the Colleges and Departments, and administrative offices (e.g. Office of Extended Studies, Undergraduate Studies, Education Abroad, etc.) to resolve course, classroom, and final exams questions and concerns. The specialist manages inquiries and responses using the Salesforce case management functionality. The incumbent must be able to analyze situations, facts, and information from a wide variety of sources to serve these various constituents and must be able to utilize specific knowledge of related regulations to interpret and clarify policies and procedures which impact course and section creations, classroom scheduling and reservations, and the scheduling and publication of final exams. The position is responsible for scheduling classes in SIS, and scheduling common final exams in the 25Live classroom scheduling system. The incumbent ensures accuracy of classroom assignments in SIS and 25Live, runs, reviews, and utilizes production and edit reports to improve efficiency and effectiveness in course and classroom scheduling processes. The position manages and coordinates the creation of Education Abroad sections, time release seat management, seats management for the Academic Achievement Program, and graduate course restrictions for the School of Business. The incumbent must be detail-oriented and have excellent customer relations skills, and be dedicated to providing consistent, high-quality service to meet operational needs. The specialist must create documentation, and train and provide support to the scheduling staff in the academic Departments. The incumbent must also supervise Course & Classroom Scheduling Services’ student employees, respond to all scheduling requests and inquiries in a timely manner, and manage the workflow among all course and classroom scheduling stakeholders in the Office of the University Registrar. The specialist reviews and recommends enhancements to the university’s scheduling systems and student information system, and partners with the Division of Information Technology on systems improvements and implementations.

Minimum Qualifications:

Education:
Bachelor’s degree from an accredited institution. 

Experience:
  • Two to four years experience in related customer service and or working in scheduling efforts, preferably in a higher education institution. 
  • Experience working on a records management system and interpreting, explaining, and operationalizing policies.

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Knowledge, Skills, and Experience:
  • General knowledge of higher education. 
  • Excellent communication (in-person, telephone, and writing), interpersonal, organizational, and negotiation skills are required to interact with various campus stakeholders, specifically Departmental course and classroom schedulers. 
  • Ability to prioritize and manage multiple activities and deadlines simultaneously, with exceptional attention to detail, accuracy, and follow-up. 
  • Ability to interpret and communicate policies and procedures associated with the Office of the Registrar, and basic knowledge of computer software required.
  • Ability to gather and summarize information from multiple sources, and to compose a wide variety of written correspondence. 
  • Ability to analyze situations and facts from a variety of sources to exercise creativity, critical thinking skills, and independent judgment in resolving conflicts or suggesting solutions to problems. 
  • Ability to assist in the evaluation and analysis of scheduling processes and recommend improvements and enhancements.
  • Ability to interpret, apply, and communicate University System of Maryland and university policies, guidelines, and procedures.
  • Ability to plan, organize, prioritize, and execute complicated assignments on a continual basis with minimal assistance, supervision, and instruction. 
  • Demonstrated self-motivation and personal skills necessary to interact with university constituents and co-workers in a professional and courteous manner. 
  • Ability to work independently and on a team.

  • Experience working in an Office of the Registrar or other student records operation. 
  • Experience scheduling courses and class sections, classrooms, and other non-recurring events at a higher education institution.

Additional Information:

Salary range: $52,000 – $65,000

Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to lift and carry small parcels, packages and other items, to walk short distances, and drive a vehicle to deliver and pick up materials.
