Intermediate Administrative Coordinator

Job Description


The Office for Nursing Research at the University of Virginia School of Nursing (ONR) is seeking an Intermediate Administrative Coordinator. Intermediate Administrative Coordinators typically support a composite of several operational functions including fiscal administration, procurement, human resources, academic support, communications, grants administration, and other administrative duties. They are able to independently understand and interpret policy and use judgment to perform their duties. The successful candidate will be part of a supportive, learning-oriented team. The Intermediate Administrative Coordinator will report to the Senior Grant Administrator and also be accountable to the leadership of the team being supported. While this is an in-person position, there may be opportunities for occasional remote work at the discretion of your direct report and your support group.

The successful candidate will be expected to:

  • Perform all duties of an Administrative Coordinator, including administrative assistance to the Associate Dean for Research and Office for Nursing Research staff.

  • Support the ongoing administrative functions and operations of the ONR.

  • Collaborate with ONR pre and post award team to prepare expenditure reports for review by leadership.

  • Provide administrative support for pre- and post-award, answer phones, open mail, monitor office supply needs for ONR operational team, purchase needed supplies using a T&E card, prepare correspondence, maintain ONR’s calendars, and schedule meetings.

  • Support ONR staff by facilitating project logistics such as scheduling meetings (in person and/or virtual), and reserving conference rooms.

  • Prepare minutes for ONR program meetings as requested, and track activity on assigned action items.

  • Process payments and reimbursements for faculty, external reviewers, and ONR programs. Prepare invoices and purchase requisitions, prepare monthly reconciliations for multiple fund sources, participate in budget preparation, purchase supplies, and process purchases on a T&E card.

  • Assist with coordinating reports and preparing materials for presentations and/or sponsor communications.

  • Assist with collecting and maintaining website information related to Research Programs.

  • Conduct surveys and evaluations for research programs and prepare reports for leadership.

  • Provide process support to search committees and coordinate successful onboarding of new research-focused employees (e.g., student hires, postdoctoral researchers, research faculty).

  • In addition to the above job responsibilities, other duties may be assigned.

Required Knowledge, Skills, and Abilities:

  • Ability to work independently and as part of a team.

  • Strong communication skills, both written and oral.

Required Qualifications:

  • High School diploma

  • At least 4 years of experience

Preferred Qualifications:

  • Associate’s degree or higher

  • Preference will be given to applicants who have worked in a support position in academia, specifically research academia, and who have experience with UVA current software systems and programs.

Compensation: 

The Anticipated Hiring Range for this position is $18 - $23 per hour ($37,440 - $47,840 Annually). This is a full-time position with UVA benefits . Employee benefits package highlights include:
