Job Description


The Stanford University School of Medicine, Department of Pediatrics advances the health of infants, children, and adolescents worldwide through innovative medical care, research, training and advocacy. Ranked among the top in the nation, the Department of Pediatrics attracts medical students, interns, residents, fellows, and postdoctoral scholars from around the world. The department's programs offer a range of training opportunities in general pediatrics, critical care, and pediatric subspecialties-all within a variety of ambulatory, inpatient, and community settings. Moreover, while teaching the skills required for tomorrow's physician leaders, our programs challenge trainees to explore and develop their interests through basic science, clinical and community-based research.

 The successful applicant for this position will be passionate about education, have program and project management experiences, and a desire to collaborate with a dynamic group of faculty, staff, and trainees on a mission to improve child health.

 The Fellowship and Faculty Development Coordinator position is an exciting new role within the Office of Pediatric Education that will support three dynamic fellowship programs and our Peer Scholarship Communities faculty development program.

The coordinator will support the Clinical Biochemical Genetics, Laboratory Genetics & Genomics, and Pediatric Gender Medicine fellowship programs. Each fellowship program is led by a collaborative faculty leader seeking a staff coordinator who will serve as a partner and collaborator to support our programs.

 The Peer Scholarship Communities faculty development program is designed to support community-building, scholarship, and career development of our faculty. The program currently consists of peer communities of ~8-10 junior faculty in specific research interest areas, facilitated by experienced senior faculty mentors. The program is seeking a staff partner to the faculty director to help run this important program for our department.

 We are seeking a creative, organized, and skilled fellowship and faculty development coordinator to facilitate our programs and join our team in the department.


Duties include:

·         Oversee daily activities of the fellowship programs and Peer Scholarship Communities (PSC) program. Organize and prioritize the activities of the clinical fellows and PSC mentees; monitor work progress status and ensure compliance with deadlines.

·         Serve as contact person for the interpretation and application of policies, procedures, and program guidelines. Troubleshoot discrepancies and determine appropriate corrective actions to be taken. Collaborate in the development and implementation of operational policies, procedures, and standards, and communicate associated changes. Identify and report compliance issues and assist in correcting situations resulting in duty hour violations.

·         Manage, monitor, and document the clinical fellowship and faculty evaluation processes. Manage materials for specialty-specific trainee exams and may assist with proctoring exams.

·         Develop, distribute, and update the fellow rotation, vacation, and leave schedules in electronic systems according to duty hour requirements with oversight of Program Director and/or his/her designee(s). Ensure that the corresponding institutions where the fellows are rotating are administering the bills accurately.

·         Perform all fellow match responsibilities and correspond with newly matched fellows about requirements and process for appointment to the hospitals. Ensure all fellows are credentialed before starting any rotation. In applicable programs, assist with quota review and rank list entry and certification.

·         Maintain the fellowship curriculum, including competency-based goals and objectives for each assignment and each level of training.

·         Maintain recruitment database and oversee the application processes during the fellowship recruitment season. 

·         Provide both administrative supervision and support to fellows. Act as a liaison between fellows and hospital administration when necessary.  Establish relationships and act as a liaison to other hospitals, internal departments, and divisions regarding fellow recruitment, orientation, annual program affiliation agreements, and external rotations.

·         May assist in program-level policy development and the development of the strategic planning of the fellowship program and monitor the budget for various fellowship activities.

·         Plan departmental annual events, organizes meetings, assist in the preparation for ACGME Site Visits and internal reviews. Develop brochures, invitations, or advertisements for events/lectures.

Stanford University provides pay ranges representing its good faith estimate of what the University reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs. The pay range for this position working in the California Bay area is between $79,000 to $99,000 based on commensurate experience and background.


DESIRED QUALIFICATIONS:

Master’s degree in Education preferred.

EDUCATION & EXPERIENCE (REQUIRED):

 Bachelor’s degree and two years of relevant experience, or combination of education and relevant experience.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

·         Ability to work independently and to coordinate multiple assignments with fluctuating priorities.

·         Excellent organizational and analytical abilities, ability to handle diverse workload.

·         Demonstrated good judgment in all areas of responsibility.

·         Agile and quick learner who can adapt easily to Stanford specific software and clinically related software.

·         Demonstrated ability to work well independently and take initiative while problem solving and resolving challenges.

·         Excellent oral and written communication skills. Ability to work with all levels of faculty and staff, and exhibit significant degree of diplomacy.

·         Excellent customer service skills and ability to adapt to changing work environment.

·         Proficient with Excel, Word and other applications required.

·         Ability to learn, understand and apply Accreditation Council for Graduate Medical Education (ACGME) or other subspecialties guidelines.
