Job Summary

This position provides financial review and oversight of budgets with the Dean to ensure budget discipline, accountability, and all other division financials are reconciled in a timely manner. Maintains the database on behalf of the Dean to track instructional equipment and other surplus funds to ensure compliance with policies. Is a co-lead with the Dean to develop the budget each fiscal year for 15+ departments. Processes requestions for both EMPS and BSS divisions (encompasses 30+ departments) so items can be received in a timely fashion to ensure student success. Helps monitor grants expenditures on behalf of the division.

Required Qualification

  1. Associates degree with two (2) years of work experience.
  2. Outstanding communication skills, ability to work independently with little or no supervision.
  3. Strong follow up and follow through skills.
  4. Strong organizational skills.
  5. Prioritization and time management skills.
  6. Strong interpersonal skills.
  7. Proficiency in MS Word, Excel, PowerPoint.
  8. Ability to utilize computer technology to access data, maintain records, generate reports and communicate with others.
  9. Ability to work in a highly collaborative environment.
  10. Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work.

Summary of Essential Functions

Department Operations/Processes: 50%
1) Provide financial review and oversight of budgets with the Dean to ensure budget accountability and reconciliation of all division financials
2) Provide direction and compliance to faculty dept chairs regarding account numbers to charge based on budget and item
3) Process requisitions through finance system ensuring purchase order is generated and vouchers are paid in timely manner
4) Work collaboratively with purchasing department to set up new vendors on behalf of the division
5) Prepare database on reqs/purchase orders to answers questions from staff or vendors in efficient and timely manner
6) Recommend process changes to purchasing department and payables department to increase efficiency
7) Process division (EMPS and BSS Divisions) procurement card (P-card) reconciliations
8) Organize and maintain files needed for the financial operation of divisions

Financial review and fiscal year budgets: 45%
1) Review budgets on behalf of Dean to determine if budget reallocations are needed and process reallocations
2) Maintain division database to track instructional equipment and other surplus funds
3) Provide guidance and direction on grants (ECE, WEI, Metallica, Schneider, etc.) including budget review, estimates, and compliance
4) Responsible for closing purchase orders to ensure accurate financial numbers
5) Balance req/purchase order database to the general ledger to ensure accurate posting of expenses
6) Attend budget mtgs with EMPS dept chairs and Dean to prepare worksheets to assist in fiscal years budgets
7) Analyze and input EMPS department budgets in finance budget tool
