Job Summary

The Faculty Support Assistant provides administrative and research support to three to five faculty members in the Department of Ophthalmology at both UCSF and UCSF Mission Bay Hospital who are involved in sub-specialty patient care, research, teaching, and public service activities. This position provides administrative support for UCSF Ophthalmology department faculty. Duties include, but are not limited to, coordinating clinic schedules and complex calendars for faculty members, coordinating the necessary packets and logistics needed for incoming international fellows, visiting scholars, observers and volunteers, planning meeting logistics, and assisting faculty with business travel arrangements, including internal conferences. The position will interact with all levels of the institution, which often includes physicians, clinical/technical/campus staff, donors, vendors, and VIP patients. The Faculty Support Assistant will ensure that all reimbursements are submitted in a timely manner and in compliance with all relevant policies. The incumbent will coordinate onboarding logistics such as phone, parking permit, computer, key, office set-up etc. for new faculty members assigned to Mission Bay. In addition, the Faculty Support Assistant will assist with research activities including assisting in the preparation of research submissions, serving as the administrative research liaison between assigned PI and external research entities and other stakeholders. Other activities include -but are not limited to- chart review, data collection, data entry, preparing and editing research documents, case report forms, budgets, grant reports, scheduling participant appointments, monitoring budgets, attending monthly UCSF staff meetings and other weekly meetings, traveling to study meetings when required, and conducting quality improvement activities.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The UCSF Department of Ophthalmology is one of the leading ophthalmology departments in clinical care, training, and research nationwide. The Department of Ophthalmology is a one of the largest recipients of federal grant funds among peer departments.  We are ranked 1st in National Eye Institute Funding and 2nd in overall National Institutes of Health (NIH) funding in the country. Additionally, we have been the #1 recipient of the Research to Prevent Blindness funding nationwide with nearly $1.2 million granted in a single year. Overall, the Department has a wide-ranging portfolio of 60 active research grants.

UCSF’s renowned eye care services has a new state-of-the-art home. In November 2020, the Wayne and Gladys Valley Center for Vision opened its doors. Located at UCSF's Mission Bay Campus, the center houses the Vision Clinics, where many of UCSF's eye care programs relocated, as well as research and teaching facilities. Ophthalmology conducts its patient care, teaching, research, and public service activities currently at multiple UCSF campuses: Parnassus, Mt. Zion, Veteran’s Administration Medical Center (VAMC), San Francisco General (SFG), East Bay and Benioff Children’s Hospital at Mission Bay and in Oakland. The Department sponsors numerous invited speakers, research seminars, journal clubs, as well as a postdoctoral training program focused on mentorship, networking, and recognition. The UCSF Department of Ophthalmology consists of approximately 300 FTE’s (including UCSF Health employees) including faculty, basic scientists, postdoctoral scholars, graduate students, residents, fellows, clinical, research and administrative staff. 


Required Qualifications

  • High school graduation and four (4) years of related administrative experience, or an equivalent combination of education and experience
  • Proficient with Microsoft Office Suite
  • Ability to interact with sensitivity, confidence, and professionalism with colleagues, patients, families, and medical teams
  • Excellent oral/written communication skills and demonstrated positive interpersonal skills
  • Attention to detail, with complete and thorough follow-up of assigned tasks
  • Ability to manage multiple projects simultaneously
  • Highly skilled at working effectively and independently with a wide variety of personalities,
  • Knowledge of or the ability to assist with contract and grant preparation, including data driven, clinical and animal research.
  • Self-directed and ability to trouble shoot problems
  • Demonstrated strong organizational and coordinating skills; ability to successfully set priorities; work independently, detail oriented and work well under pressure of deadlines
  • Demonstrated experience preparing PowerPoint slides and presentations
  • Demonstrated experience managing multiple complex calendars simultaneously, schedules and coordinating meetings for multiple managers, faculty (both clinical and basic science) and/or service directors
  • Demonstrated experience making complex travel arrangements
  • Demonstrated experience with purchasing, travel reimbursements and processing check requests
  • Demonstrated experience drafting and editing correspondence

Preferred Qualifications

  • BA/BS degree
  • Experience with clinical research
  • Experience with university related research
  • Experience with using databases for data management
  • Experience in coordinating research studies and project management
  • Experience with the Institutional Review Board Processes
  • Interest in Medicine, Ophthalmology Research, Children’s Vision and vision screening programs, Public Health, pediatrics
  • Experience with APEX
  • Experience with CME accredited courses, programs, events and knowledge of the CME process
  • Prior experience with event planning
  • Knowledge of medical/scientific terminology.
  • Familiarity with the Committee of Human Research (CHR) submissions
