Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Administrator for the Department of Medicine within the New Jersey Medical School. In conjunction with the Vice Chair of Administration, this individual is responsible for the Division of Cardiology and the financial and operational integrity of the Department through the stewardship of institutional resources, and the development and implementation of appropriate budget controls, business planning, and business planning and program/practice development strategies. Reporting directly to the Vice Chair of Administration, this individual may represent the Vice Chair in various institutional forums including the School of Medicine, the University Hospital, and the University at large.
Among the key duties of this position are the following:
  • Leading and managing the day-to-day functions of the department including supporting the hiring, purchasing, and supplier management activities; general office operations including scheduling and working closely with Finance on all divisional financial reporting.
  • Develops and maintain Cardiology divisional-based operational reporting mechanisms to measure and evaluate contributions toward missions (research, clinical, education, etc.), measure productivity against pre-defined industry benchmarks, and operating results against division-based budgets.
  • Develops the Division of Cardiology financial policy regarding the annual budget process including methodology and implementation of mission-driven division-specific budgets, investment strategies, internal financial reporting, and audit controls.
  • Develop a post-award grants management process incorporating grants budgets into the Cardiology Division fiscal planning process ensuring that appropriate short and long-term fiscal planning is observed.
  • Oversees all program milestones set by management and tracks program costs and invoices to ensure budgetary parameters are met.

Qualifications


Minimum Education and Experience
  • Bachelor’s Degree in Accounting, Finance, Business Administration, or a related field plus five (5) years of progressively more responsible experience in financial services and administration, preferably in an academic healthcare environment.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must be PC literate and have database management skills.
  • Must have strong interpersonal and communication skills and be highly organized.
  • Demonstrated knowledge of how to accomplish superior performance in a unionized environment is necessary.
  • Outstanding human relations and leadership skills, and the ability to function in a team environment.
Preferred Qualifications
  • A Master’s Degree in Finance or Business.

Immunization Requirements


Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption.
