Position Summary

The Program Administrator plays a central role operationally, administratively, and programmatically for the Feerick Center for Social Justice. This position requires someone with discretion and judgment who takes initiative and excels in a fast-paced, collaborative work environment with exceptionally strong oral and written communication, organizational, attention to detail, and follow through skills.

Essential Functions

  • Reports directly to the Executive Director of the Feerick Center for Social Justice and provides comprehensive operational, administrative, and programmatic support for the Center.
  • Serves as the principal staff person supporting the Center’s work in connection with the New York State Attorney Emeritus Program, including supervising VISTAs and part-time staff.
  • Coordinates Center communications, including e-newsletter, reports, and web content; manages the Center’s social media platforms, email account, and maintains its website.
  • Supports Center program and event planning, coordination, and implementation, including by overseeing administrative, logistical, and day-of support for events and conferences.
  • Provides administrative and logistical support in connection with the Center’s regular program, advisory board, coalition, and working group meetings, including preparing minutes.
  • Coordinates budget accounting operations, office purchasing, processing of invoices (including for independent contractors), and records control.
  • Provides grants management and finance administrative support, including by recording, processing, and maintaining financial records, as well as assisting with logistical planning and publicity materials for fundraising events. Takes the lead in transitioning the Center to a new contact management platform.
  • Serves as a primary point of contact for the Center for external and internal purposes; systematically tracks communications and contacts; tracks the status of requests and responses.
  • Provides day-to-day administrative support to the Feerick Center staff including scheduling, securing space on campus, travel arrangements, data integrity, and processing applications for new staff, student programs and fellowships. Serves as scheduler for Feerick Center executive director.
  • Provides occasional logistical, administrative, and website support to a partner center at the Law School
  • Supervises student workers, college interns, and Center volunteers, as necessary.
  • Performs human resources duties, including managing the University’s hiring platform and onboarding process as necessary for new hires and VISTA members.
  • Maintains a master calendar for the Center and provides other calendaring assistance as necessary; manages overall coordination of event schedules of the Center.
  • Performs other responsibilities as may be assigned, including acting as project manager for special projects.

Required Qualifications

  • Bachelor’s degree or four years of work experience
  • At least two years of experience with office management and organization
  • Administrative, bookkeeping / budgeting and event planning experience, a plus.
  • Excellent oral and written communication skills, editing, proofreading and customer relations skills.
  • Strong interpersonal skills and team player with ability to work in a positive, collaborative, and inclusive environment.
  • Self-motivated worker with strong initiative, ability to work independently, with superior judgment.
  • Strong organizational skills with meticulous attention to detail, excellent follow through, ability to multitask and meet internal and external deadlines.
  • Excellent computer skills including Microsoft Word, Excel, and PowerPoint; G-Suite; and data management skills. Familiarity with contact and case management systems (Salesforce, Galaxy Digital, and/or LegalServer) and graphic and website management preferred, including CANVA and Terminal Four.
  • Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.

Preferred Qualifications

  • Conversational Spanish preferred.

Minimum Starting Salary: $58,500

Maximum Starting Salary: $62,500

Note: Salary is commensurate with qualifications, experience, and skills.
