JOB DESCRIPTION AND POSITION REQUIREMENTS:


The Department of Electrical Engineering at Penn State is seeking highly organized and detail-oriented applicants for the role of Administrative Support Assistant 3. The successful candidate will handle various duties related to limited-term and part-time hires, coordination of visa requests, transfers, invitation of visiting scholars, and more.

Duties include, but are not limited to:

  • Create job requisitions, manage applicants, and hire candidates in Workday.

  • Prepare offer letters and contracts for limited-term faculty and staff, researchers, instructors, teaching professors, and postdoctoral scholars.

  • Manage, track, hire, and maintain part-time appointments and separations.

  • Initiate paperwork, letters, and processes for invited visiting scholars.

  • Serve as international visa coordinator on all matters related to visas, such as extensions, changes in visa type, and permanent residency, as well as initiate H1B and J visa processes in iStart.

  • Serve as liaison with International Students and Scholars (ISSA) at Penn State.

  • Work with College of Engineering Human Resources for related inquiries.

  • Maintain files and database for all limited-term, visiting scholar, postdoctoral scholar, and part-time appointments. This includes reporting and monitoring appointment end dates and expiration dates for offers and visas, as well as ensuring reappointment or separations are processed accordingly.

  • Manage spreadsheets with faculty related to summer supplemental salary requests, and work with department staff regarding budgets.

  • Process Supplemental Pay Process (SUPP) salary requests via WorkLion and run Workday reports.

  • Manage ITS sponsored accounts for unpaid affiliates of Penn State (Visiting Scholars, Affiliate Professors, etc.).

This position typically requires a High School Diploma or higher plus two years related experience, or an equivalent combination of education and experience. Knowledge of, or the ability to learn Penn State’s systems, such as Worklion/Workday, iStart, and Office 365 Suite, is desired.
