Summary:
The Program Coordinator is responsible for projecting and integrating the Mission and Core Values of the AIDS Healthcare Foundation (AHF) within and outside of the Public Health Division (PHD). Under the supervision of the Associate Director of Operations and the Senior Operations Manager, the Program Coordinator will be responsible for assisting with the logistical, administrative, operations, and the quality assurance structures and processes of PHD in Texas.

Essential Duties & Responsibilities
Program/Operations
  • Assists in the daily office operations of the PHD Texas region and provides administrative support for all PHD programs.
  • Prepare weekly reports, manage data, and present information relative to PHD Texas Modalities for Management
  • Provides a holistic program support to Testing and Wellness managers and serves as a liaison for OPS support.
  • Assists in the oversight, review and evaluation of tasks and responsibilities for the PHD Operations Team.
  • Assist with the PHD Testing Hotline on a need basis
  • Assists in working with building administration, maintenance and facilities management for regional PHD and national PHD sites as needed.
  • Transfers and handles all HIV & STI specimens to Laboratories as necessary. Coordinates with PHD Teams for the timely and accurate transport of specimens according to federal, state and local health regulations.
  • Assists in the monitoring of key PHD and PHD Operations metrics to measure and report on all processes and initiatives and assists in their evaluation and improvement
  • Supports the launch of new PHD operational systems and processes and assists in the implementation of processes to optimally streamline (effectively and efficiently) the delivery of services and distribution of supplies and resources to PHD (internal) and external customers.
  • Maximizes the principle of due diligence in the functioning of PHD Operations.
  • Maintains a strategic working relationship with vendors and assists in ensuring cost containment in the purchasing of supplies for PHD Sites through price comparisons of third-party vendors.
  • Coordinates with PHD Finance on executing PHD Finance-related quality assurance processes and other finance-related duties as needed
  • Helps with the coordination of supply delivery to PHD Texas and helps to coordinates the distribution of shipments throughout the US
  • Responsible for continuing education and keeping up-to-date with proficiencies through job-provided training or job-related educational opportunities

Grants/Contracts
  • Assists with all PHD Texas contracts, assists with all data requirements and all relevant terms for each contract
  • Ensures all compliance requirements are met and work with Senior Operations Manager and Associate Director of Operations to submit Grant Reports to PHD Finance and AHF Contracts
  • Assist with grant adherence through monthly reporting and gathering of documents for audits

Admin/Operations
  • Assists in the management of PHD inventory in Texas and the implementation and maintenance of effective inventory control mechanisms.
  • Assists in the ordering and procurement of test kits and condoms for PHD Texas
  • Assist with management of Administrative and PHD Texas building costs.

Participation in AHF Meetings/Committees

Attends AHF/PHD meetings as assigned
Must be able to handle multiple tasks including project management and quantitative analysis.
Must be able to work independently.
Must have strong organizational skills.
Willingness to travel to PHD Texas locations is required.

Education and/or Experience

Bachelor’s degree (B.A.) in Public Health from four-year college or university, or other Health Care Administration and Operations related field and/or seven to ten years related experience and/or training, preferable in non-profit and/or health care environment or equivalent combination of education and experience.


Computer/Software Skills & Abilities

  • Should have knowledge of Word Processing software.
  • Basic Knowledge of working a tablet.
  • Conducts professional use of company e-mail
  • Familiarity with web-based applications like Google and mobile applications (Instagram, Facebook, Snapchat).
Language Skills

  • Ability to read and interpret guidelines such as safety rules, universal precautions, operating and maintenance instructions, and program manuals. Ability to document extensive reports accurately. Ability to speak effectively in a group setting.

Other Skills & Abilities/Qualifications

  • Excellent organizational skills
  • Ability to work with minimal supervision.
  • Cultural competency in working with LGBTQI (Gay, Lesbian, Bisexual, Transgender, Queer, Questioning and Intersex) communities and addressing issues affecting these communities
  • Sensitivity to the issues surrounding HIV and AIDS.
  • Skill presenting services offered at AHF to partnering organizations.
  • Skill in communicating openly on sexual topics without prejudice or judgment.
  • Demonstrates empathy with clients with tone, language, questions and counseling. Must be able to probe and question clients to understand concerns or needs.
  • Must be available to work on weekday, evenings, and weekends including late hours.
  • Must be able to drive to different testing sites.
  • Must be able to maintain confidentiality.
