Examples of Duties & Responsibilities

• Prepares correspondence, reports, meeting minutes
• Assists in budget data preparation
• Initiates purchase orders 
• Maintains inventory for administration needs
• Establishes and maintains confidential files
• Manages travel arrangements for Assistant Director and 6 direct reports
• Schedules the staff’s attendance at continuous learning opportunities, communicate with and schedule speakers or conference/ training paperwork, schedules facilities and fulfills catering needs
• Schedules employee attendance at mandatory annual training sessions
• Maintains calendars of the administrative staff and exercise discretion in adjusting schedules to meet changing priorities
• Schedules meetings with contractors and vendors as directed by the Manager and Assistant Director
• Receiving for Facilities orders and deliveries
• Maintain accurate records of warranty items and scheduled maintenance
• Receive receipts and maintains records and payments of purchase orders
• Maintains files on college contracts with vendors
• Manages day-to-day needs culminating in the bi-weekly submission of payroll for 35 employees
• Provides administrative support and back-up to other Facilities departments
• Assists in the hiring process for the department with active turnover
• Coordinates the performance appraisal process and maintains the records
• Acts as liaison for employees who work on B-shift for various department information 
Day-to-Day duties:
• WebTMA – Inputs, processes, and directs work via WebTMA software for all work request
• Dispatches and follows-up day crew trouble calls
• Assist in posting overtime: write-up postings; award via CSEA guidelines; tracks overtime worked
• Assists in the process of hiring temporary workers thru an agency
• Other duties as assigned by Assistant Director and Manager
• Serve as the first point of contact for the DTC Facilities through phone and front end reception disseminating requests and sharing proper facility procedures

Required Qualifications

• Must currently hold the title of Secretary II or be reachable on the Civil Service Eligibility list titled Secretary II.
• Must be a Monroe County Resident.
