Summary:

Across the state, Washington has more science, technology, engineering, math (STEM) and health care jobs than it can fill yet our higher education system cannot keep up with the demand for skilled employees. The Washington State Opportunity Scholarship (WSOS) is a unique, public-private partnership designed to address our talent shortage. WSOS fuels the state's economy by providing scholarships and a continuum of support services to high potential students who are pursuing a graduate degree, bachelor's degree, associate degree, certificate, or apprenticeship in a high-demand trade, health care or STEM program in Washington state.

The Development Operations Coordinator will play a key role in creating and implementing the administrative activities that are the backbone for campaign management, major gifts fundraising, projects and events. The top responsibilities for this role include: 1) conducting gift entry, processing and reconciliation; 2) entering data, editing and entering contact reports and creating next steps in a CRM (Salesforce); and 3) leading administrative projects to support the team. To excel in their role, the Development Operations Coordinator will be a detail-orientated professional with a penchant for performing tasks efficiently and accurately. They will also be highly organized and able to routinize recurring responsibilities. The ideal candidate has excellent customer service orientation and is experienced with a cloud-based CRM system such as Salesforce. The Development Operations Coordinator reports to the Development Director and is a member of the development team.

Key Responsibilities and Accountabilities:

  • Ensure accurate and timely donor data entry and reporting including managing all aspects of the gift process (tracking, acknowledgement and reporting)
  • Serve as the point-person for data entry in CRM (Salesforce) including auditing and updating records on an ongoing basis
  • Enter contact reports, turning notes into narrative form, proactively identifying profile characteristics and next step tasks to be entered or created for front-line fundraising activities
  • Manage operational and administrative activities to support the effective and efficient functioning of all development team members – includes tasks such as coordinating mass mailings, printing name badges, tracking event registrations and organizing potential prospects in spreadsheet form
  • Support operational needs outside of the fundraising team on request in support of the executive assistant and deputy director
  • Maintain the highest ethical standards of the fundraising profession

Requirements:

Education and Experience·

  • High school graduation
  • 3+ years of nonprofit fundraising/development experience preferred but not required

Preferred Qualifications, Knowledge, Skills, and Abilities:

Knowledge of:·

  • Database management, particularly a donor/constituent CRM such as Salesforce, Raiser's Edge, etc.·
  • Prospect Research best practices
  • Systems of power and oppression and how they impact the lived experience of students of color, first-generation college students and students from low-income families

Skill in:·

  • Clear, concise written and verbal communication
  • Using donor/constituent CRM such as Salesforce, Raiser's Edge, etc.
  • Using Microsoft Office suite for productivity (includes intermediate level proficiency in Excel)
  • Smartsheet (or similar project management software) to track to-dos and meet deadlines

Ability to:·

  • Track complex, repetitive to-do list with a laser focus on details and accuracy
  • Independently coordinate administrative details such as: creating name badges and attendee lists for events; ordering meals or coordinating catering to support donor events; and managing collateral printing, mailing and pick up
  • Work cooperatively and effectively with others to set goals, resolve problems and follow through
  • Thrive working independently and under supervision in an energetic, fast-paced team environment
  • Balance competing priorities in a cross-functional workspace

LICENSES, CERTIFICATES, AND OTHER REQUIREMENTS:

  • Valid Washington state driver's license or identification card
  • Access to reliable transportation for business travel
  • Proof of automobile insurance if using a personal vehicle for business travel
  • Complete a criminal background check absent of offenses impacting ability to perform in the role
  • References will be required of short-listed candidates

WORK ENVIRONMENT:

  • Moving to/from meeting spaces, sitting, bending, twisting, and reaching; Occasional lifting of up to 20 pounds

  • Hybrid workplace including work-from-home time blended with shared office environment with moderate noise levels from standard office equipment
  • Ability to perform consistent work on a PC required· Travel very occasionally required
