Job Summary

This position requires experience in finance and financial reporting, budgeting, forecasting, financial analysis, and strategic planning, using advanced professional concepts and organizational objectives to resolve complex issues in creative and effective ways and exercising judgement in selecting methods, techniques, and evaluation criteria for obtaining results. As a representative of the SOM Dean’s Office, the incumbent must possess excellent interpersonal and communication skills (verbal and written), as well as tact, discretion, and judgment of the highest standard as necessary to routinely communicate on matters that are sensitive or confidential.

The incumbent will:

  • Provide coordination, project management, and analytical support for multiple complex projects, including research initiatives, intramural funding programs, and research training programs;
  • Perform reconciliation of program transactions and provide financial information to meet ad hoc reporting demands, as well as internal and external reporting requirements;
  • Use a high level of administrative and financial expertise, sound judgement, and reasoning to conduct independent and detailed analyses, understand past performance and determine current and future performance and resource allocation, and manage multiple demands on a routine basis; and
  • Work on complex issues where analysis of situations or data requires an in-depth evaluation of variable factors.

The incumbent will report directly to the Principal Analyst, Institutional Analysis & Planning, serve as a key member of the Budget & Resource Management team within the Financial Affairs Unit of the Dean’s Office, and will also provide financial and program support to the Vice Dean of Research (VDR).


Department Description

Consistently ranked among the nation's top medical schools, the UCSF School of Medicine (SOM) is known for its influential basic science and clinical research and for excellence and innovation in patient care and teaching. It is comprised of 28 academic departments, eight organized research units, and six interdisciplinary research centers at seven major sites throughout San Francisco and in Fresno. Its primary clinical training sites are located at UCSF Health, Zuckerberg San Francisco General Hospital, the San Francisco Veterans Affairs Medical Center, and UCSF Fresno. The School has an operating budget of $3 billion.

The SOM Dean’s Office provides leadership to the School and serves as a central resource for the many diverse components. The Financial Affairs Unit (FAU) is the chief administration unit in the Dean’s Office and oversees, directs, coordinates, and manages all SOM funds, and all clinical enterprise-related funds flow and transactions. FAU serves as the School’s control point for resource planning, finance, accounting and compliance, reporting, and decision support. It also establishes SOM-wide fiscal policies, processes, and financial reporting, and manages the Dean’s Office budget, reporting, and accounting functions. FAU is responsible for the fiscal oversight of the School, and the management of School-wide financial planning, analysis, and reporting process. FAU’s mission is to promote and provide financial expertise, efficient tools and services, responsible fiscal stewardship, and meaningful reporting and analytics, and to be a strategic partner to the leadership of UCSF’s four missions: education, healthcare, research, and public service.

While based in the FAU, this role will work closely with the Vice Dean of Research (VDR) who serves as the primary liaison to the School’s discovery community. The Vice Dean is charged with developing a strategic vision to further elevate and strengthen our excellence in biomedical research; oversees internal programs such as Bridge Funding, REAC, and the Integrated Funding Model; promotes innovations and collaborations, fosters a sense of community among our researchers with a focus on communication, and works to enhance diversity and inclusion; and oversees the school’s training programs for graduate students, medical students (including the physician-scientist training program), and postdoctoral scholars.


Required Qualifications

  • Bachelor’s degree or equivalent in business administration with an emphasis in accounting, finance, and/or budgeting or an equivalent combination of education and experience
  • A minimum five years of progressive, directly related work experience in finance, budget and resource management, and decision support in a higher education, academic health care, or large research institution setting
  • Advanced knowledge of finance and budgeting policies, practices, and systems
  • Experience in analyzing complex financial information and the ability to analyze, research, and synthesize large amounts of data from multiple sources to prepare sound and relevant proposals and analyses
  • In depth ability to use multiple spreadsheet and database software tools to gather information for specialized, complex financial analysis, fiscal management, and financial reports.
  • Advanced knowledge of MS Access, Word, Excel, Outlook, and PowerPoint, Dropbox, Eventbrite, Salesforce or other relational databases, with proven ability to use tools as an efficient and effective means of preparing and presenting project outcomes
  • In depth ability to use organizational skills to multi-task in a high-volume environment with demanding timeframes and ability to adapt to changing priorities
  • Strong communication skills with the advanced ability to effectively present complex information both verbally and in writing in a clear and concise manner
  • Excellent judgment, trusted discretion, and outstanding interpersonal skills with the demonstrated ability to interact positively and effectively with staff and leaders at all levels within the organization; advanced service orientation and critical thinking skills; and attention to detail
  • Demonstrated political acumen and ability to use discretion and maintain all confidentiality
  • Excellent customer service and strategic planning skills
  • Ability to work independently and to function as a member of a team
