Essential job functions include:
Supports day-to-day running of the President’s office. Oversees the President’s calendar and prepares the necessary material for meetings. Arrange and schedule appointments and travel.
Acts as the President’s confidential secretary. Ability to perform responsibilities in a confidential and highly skilled and professional manner.
Ability to understand and follow instructions with a varying degree of complexity and to exercise judgment and discretion in applying and interpreting departmental and/or institutional procedures.
Work closely with the Vice Presidents and other college personnel to ensure a spirit of college-wide collaboration, collegiality, civility and teamwork.
Assist the Assistant to the President as needed.
Acts as the Clerk for the STCC Board of Trustees as well as the STCC Assistance Corporation which involves preparing agendas, assembling materials for meetings, researching MA Laws and parliamentary procedures when necessary, take minutes, transcribes and distributes. Updates Trustees Policy Book and keep Board listings up to date.
Composes letters, responds to inquiries, compiles data and prepares for and attends all Board of Trustees and STCC Assistance Corporation meetings, ensuring that all posting of such meetings are in compliance with the laws of the Commonwealth.
Excellent writing and oral skills. Detail oriented and extremely organized.
Supervision of administrative support staff of the President’s Office.
Assists in the coordination of activities related to the operation of the President’s Office which includes: planning and drafting of all communications and correspondence setting up, maintaining and updating records of the office, organizing and establishing the workload and priorities for the office.
Advises the President of problems and acts as liaison between the Office of the President and other departments. Directs faculty, staff and student concerns to appropriate President’s staff member for quick resolution and action at the Executive Cabinet level.
Strong appreciation for how diversity affects the College and the workplace environment and strong customer service skills.
Approval of purchase requisitions for travel in Datatel (once approved by immediate supervision).
Works actively with area colleges and other MA community colleges.
Other duties as assigned by the President.
Knowledge of G-mail, Microsoft Office (Word, Excel), shorthand or speedwriting, telephone etiquette and setting up conference calls.
Bachelor’s degree required. Five to ten years’ experience in an executive level, office administrative support.
SALARY: $50,633 - $60,738. Full-time, Non-unit professional position. State funded with benefits.
