Job Summary

The Executive Assistant to the President and Board of Trustees performs administrative functions that require a thorough knowledge of College policies, procedures, and operations and an understanding of the College’s role within the community. While there are specific duties as listed below, there are general duties which arise from the dynamics of working in the President’s office such as: greeting trustees, donors and special guests, participating in meetings which involve the President’s office and managing the overall functions of the office in the President’s absence. Excellent communication skills and a positive, up-beat and ‘can-do’ attitude is a must.

The Executive Assistant exercises independent action while functioning within a framework of confidentiality to provide substantive replies to inquiries requiring research and special knowledge.

Required Qualifications

Associate’s Degree

Minimum of five years of experience working with a senior level executive

Ability to interact effectively with appropriate tact, diplomacy and professionalism with diverse groups including students, staff, faculty, board members, community leaders and government or other regulatory agency officials

Computer literacy to include proficiency with Microsoft Office Suite

Excellent written and verbal communication skills

Detail oriented and highly organized; must be able to multitask

Effective management of time and priorities in order to meet established deadlines

Must possess a valid Texas Driver License, good driving record, and be insurable on Midland College’s insurance policy

Essential Functions

Executive Assistant to the President:

Promotes a positive image of the College by greeting and receiving visitors to the President’s office, responding to inquiries from diverse College constituents, providing authoritative information regarding College policies or decisions, referring inquiries or problems to the appropriate office or person, and resolving problems

Perform a wide variety of complex, responsible, and confidential administrative duties for the President

Prepares correspondence to include reports for distribution or approval and signature, checking the documents for completeness and accuracy

Attend and schedule weekly Administrative Council Meetings and keep accurate minutes

Serves as the event coordinator for various functions of the President’s Office to include:

• Annual service/retirement awards to include ordering awards and scheduling of ceremony

• Convocation breakfast meetings

• Christmas receptions

• Annual employee United Way Campaign

Assists with the preparation and management of the budgets under control of the President’s Office and related documents

Facilitates efficient and cost-effective official travel for the President by making travel arrangements and preparing associated reports

Maintain the President’s calendar, frequently establishing priorities at own discretion, ensuring that all official obligations are met

Maintain the scheduling of the Gibson Board Room and maintain Board Room refreshments

Research State legislative issues and track bills

Work closely with campus organizations

Order office supplies; complete purchase requisitions for subscriptions, memberships, etc.

Be an integral team player, which involves flexibility, cooperation and communication

Performs records management of the paper and electronic filing system within the office, creating files and records as necessary using judgment and knowledge of office requirements, updating files and records, determining retention and purging schedules, and retrieving files and documents as needed

Executive Assistant to the Board of Trustees:

Generate monthly board packets, post monthly board notices, and keep accurate board minutes

Work with the Midland County Elections office on election years

Generate election packet for trustees to file

Post necessary election notices

Canvass elections

Other duties as assigned

Physical Demands

Must be able to remain in a stationary position 50% of the time

Frequently moves equipment or paperwork weighing up to 25 pounds

Ability to work extended hours as needed

Use of manual dexterity

Repetitive use of a keyboard at a workstation

Office setting

Duties indoors and some outdoors

Attendance at Midland College or community events may be required

Travel for training, meetings, and events both in and out of town

The person in this position frequently communicates with others; must be able to exchange accurate information

The person in this position needs to occasionally move from office to other locations on or off campus

Security Sensitivity
