Grants Manager

Reports to: Executive Director

Cohen Veterans Bioscience (CVB) is hiring a Grant Manager who will be responsible for providing grant writing support to the CVB scientific team, overseeing, and managing an extensive grant portfolio, and interacting with multiple collaborators and institutions with the primary goal of acquiring funding for the organization and consortium research efforts. The Grant Manager will assist with searching for, preparing, and submitting grant applications and progress reports, ensuring that deadlines are met, and that required information is provided in the appropriate format. The successful candidate will be personable, proactive and highly methodical in his/her attentiveness to detail with strong time management skills. They will have extensive experience in managing the grant process. They will also be a team player with strong organizational, communication and interpersonal skills, and the ability to gain the cooperation of others and facilitate communication among team members, along with a sense of urgency and commitment to meet aggressive timelines. The position is based in New York City, New York.

PRIMARY RESPONSIBILITIES

The Grant Manager will perform as the lead individual responsible for the management and submission of all CVB grants. This includes the following responsibilities:

· Coordinate all aspects of the grant application submission

· Manage timeline for the application process and keep stakeholders on pace for timely submission.

· Assist Senior Leadership in the preparation of budget-related materials and supporting documents required for submission with grant proposals, funding renewals, financial reports, grant extension requests, work plans, reports, etc.

· Prepare and maintain internal tracking checklists and timeline documents

· Regularly monitor spend against grants to ensure annual targets are met and ensure alignment with organizational forecast

· Ensure compliance with regulations and requirements; including reporting protocols, various reporting templates, approval policies and procedures, and award close-out procedures

· Support the development of organizational-standardized processes and tools to be used for financial grant management.

· Ensure that work products conform to the formatting and internal/external policy/regulatory requirements, are free of errors, and those scientific ideas are presented clearly, accurately, and persuasively

· Support researchers to translate data results into a manuscript format and propel them to publication

· Communicate grant timeframe, milestones, and reporting schedules to appropriate grantees.

· Function as liaison between CVB and study sponsor. · Document grant management pre and post award processes and procedures.

· Meet regularly through the submission process with study team. Seek out and identify new funding mechanisms for CVB.

· Organize and archive all electronic documents and files related to grant submissions.

· Proactively conduct research on industry and funding trends; Research strategic initiatives by identifying and presenting new grant opportunities and updates pipeline of grants on a regular basis.

· Maintain accurate records, both physical and electronic, to ensure adequate documentation is available at all times that demonstrates responsible use of grant funds

· Actively engage in establishing long-term partnerships and strengthen existing relationships with corporations/foundations that result in funding for the goals of the organization.

· Other duties as assigned

QUALIFICATIONS

  • MS or Ph.D in science or a related field.
  • 3-5 + years directly related experience in managing grants and contracts.
  • Experience in research in an academic environment is required
  • Experience in neuroscience, genomics, and/or computational biology
  • Extensive knowledge in the scientific granting process and successful writing on grant proposals for scientific research, including submissions for federal (e.g., NIH and HSF) organizations, private foundations, and donors required
  • Knowledge about funding for nonprofit agencies, government funding, and operational issues faced by nonprofit agencies

REQUIRED SKILLS

  • A strong understanding of the grant life cycle process including grant seeking, grant writing, and the grant management process.
  • Extensive NIH grant submission experience
  • DOD/ VA grant submission experience preferred
  • Exceptional verbal and written communication with the ability to be accurate & compelling, in developing and maintaining relationships with a diverse population.
  • Strong project management skills, deadline-oriented and ability to remain organized while managing multiple grants and projects.
  • Ability to strategically plan, identify and develop process improvement opportunities.
  • Strong analytical, problem solving, critical thinking, organizational, and financial planning skills.
  • Synthesize complex sources of information and prepare proposals.
  • Maintains a professional relationship and positive attitude with all funders, business affiliates, community partners, and community members.
  • Must have proficiency with Microsoft Office PowerPoint, Word, Excel and project management software. Proficiency with Teamwork, a plus.
  • Authorization to work in the U.S. required without sponsorship.
  • Must be able to travel approximately 10% of the time, including overnight.
