Job Description
The School of Biological and Health Systems Engineering (SBHSE) in the Ira A. Fulton Schools of Engineering is seeking highly motivated, outgoing, dynamic Academic Financial Specialist, be responsible to perform business operations functions and human resource services in a fast paced and complex School.
Under general supervision, the incumbent will be responsible for performing a variety of daily financial functions and administrative support processes in a complex academic unit with significant research and instructional emphasis. The successful applicant will maintain effective working relationships with faculty, staff, students and vendors as well as handle confidential and sensitive information, use software applications as it applies to position, be skilled in policy and procedures, work with short deadlines; communicating, participating and encouraging support of an institution’s sustainability programs; and working collaboratively and effectively with faculty and staff in rapidly evolving and responsive environment.

Essential Duties
- Transact purchasing utilizing various purchasing methods (purchasing card, WorkDay, SunRISE)
- Process complex purchasing that utilize multiple funding sources; employ knowledge in required documentation for sole-source and bid-processing for equipment purchases, working with faculty to complete required documentation; knowledge in policies and procedures pertaining to subject pay, petty cash processes and honorarium payments
- Manage purchasing card from submission of transaction, to coding and reallocations in the JP Morgan Chase system, to ensuring integration into the WorkDay system, culminating in an accurate and timely PCard Verification in WorkDay
- Process transactional data in the ASUF WorkDay interface, ensuring compliance with donor intent, ASUF/ASU policies and guidelines; to include employee reimbursements, bill payment, and intra-institutional transfers of funds
- Maintain knowledge of policies and procedures pertaining to events management; contracts review and processing, block hotel procedures, rooms scheduling, travel payments for non-ASU personnel
- Conduct account management through reconciliation, reporting and data analysis utilizing WorkDay
- Conduct annual budgeting utilizing Adaptive Planning Approve
- Prepare and summarize a variety of routine operational and status reports utilizing multiple data platforms
- Train personnel on cash handling, travel, time reporting and end-user purchasing utilizing multiple software systems
- Enter hourly time utilizing the TAS and DTA systems
- Transact hiring utilizing the Brassring system
- Maintain electronic HR files in compliance with audit standards
- Conduct payroll reconciliations, redistributions, and annual data verifications utilizing multiple data and reporting systems
- May supervise student workers.
- Utilize student workers to manage front desk of administrative office, greet guests, signing for and manage package receipt and pick-up, receive and direct main phone line
- Process and coordinate school travel authorizations and expense reports; produce process guides as job aides and training materials for end users of Concur system
Minimum Qualifications
Bachelor's degree in Business Administration, Accounting, or closely related field AND two (2) years of prior business operations experience; OR,Six (6) years of directly related administrative experience; OR,Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Knowledge of accounting and budgeting practices and principles.
- Knowledge of procedures, methods and forms associated with automated accounting systems
- Knowledge of PC based software for spreadsheet, database, word processing and presentation applications
- Skill in coordinating activities and establishing priorities.
- Evidence of effective verbal and written communication skills.
- Ability to work effectively in an environment subject to tight deadlines and quickly changing priorities
- Ability to prepare detailed financial information for a variety of constituencies
- Ability to adapt to new technology.
Working Environment
- Activities are performed primarily in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse
- Frequently required to stand for varying lengths of time and walk moderate distances to perform work
- Bending, stopping, reaching and lifting up to 20 pounds
- Regular activities require the ability to quickly change priorities which may include and/or are subject to resolution of conflicts
