Overview

The Inventory Supply Assistant will focus on maintaining the laboratory supply inventory for clinical trials. This role will assist in preparing research protocol kits and making deliveries to appropriate lab locations on a scheduled basis. This position will also be responsible for collaborating with clinical research staff to modify (additions/deletions) inventory levels and coordinate replenishment of stock from trial sponsors where necessary. Must adhere to HIPAA/Privacy and Information Security requirements.

Responsibilities

  • ERP (People Soft) transaction accuracies, system integrity, strengths in MS Word-Excel Power Point.
  • Ability in Multi Tasking - Contact person on order issues, point person for supply orders, responds to customer (internal) inquiries.
  • Participate in Cycle Counting.
  • Manage package receipts, from a historical low of 35 a day to a max of 600 package deliveries per day.
  • Filling of all orders, and delivery of same, around the DFCI campus.
  • Detail Oriented and be able to multi task items / function simultaneously. 
  • In addition the position will be responsible for the following: 
  • Maintain inventory of research protocol kits (i.e., stocking, labeling, replenish stock on shelves) 
  • Maintain PeopleSoft inventory system of research protocol supplies
  • Generate patient appointment reports from appropriate systems 
  • Generate PeopleSoft inventory requests for specific research protocol kits 
  • Reconcile patient information with inventory ordered (research protocol kit) 
  • Generate labels for use with protocol kits which include: patients full name, medical record number, and date of birth 
  • Label protocol kits and associated supplies appropriately
  • Deliver laboratory kits and supplies to the appropriate laboratory and clinical service areas on a daily basis 
  • Safeguard patient information and ensure confidentiality of all protected health information.

Qualifications

  • High school diploma required.
  • Must be certified in shipping and handling of hazardous materials.
  • Knowledge of applicable policy, regulatory and accreditation standards.
  • Strong personal computing skills, knowledge and ability to use Microsoft Office (Word, Excel, PowerPoint, etc.).
  • PeopleSoft ERP system experience highly desirable.
  • Excellent organizational, customer service, analytical and problem solving skills.
  • Experience in healthcare or life sciences environment preferred.
  • Required to demonstrate relevant knowledge, skills, and experience against the following selection criteria:
    1. Knowledge of area of specialty;
    2. Effective communication and interpersonal skills;
    3. Demonstrated ability and proven skills in: setting work priorities and working to deadlines.
  • Must adhere to HIPAA/Privacy and Information Security requirements and attend appropriate training courses.
  • Solid experience with high volume picking, packing, and fulfillment a must.
  • Leading by example to create an efficient and effective team environment. 
  • The ability to work under pressure, often to tight and changing deadlines.
  • A flexible approach to working hours when required.
  • Excellent organizational and communication skills required.
  • Calm and approachable nature with the ability to communicate effectively and professionally at all levels within the organization. 
  • Good problem solving skills.
  • Ability/license to drive van and/or delivery truck.
  • Environmental Safety, Fire, General (FDA experience optional) Warehouse regulation and procedures.
  • Experience working with hand and electrical fork lift trucks.
