Overview

Within the Department of Nursing and Patient Care Services, the program coordinator provides a wide range of support and coordination for The Center for Clinical and Professional Development and Professional Development programs and leaders. They will partner with clinical colleagues including associate chief nurses, nurse directors, clinical specialists to provide knowledgeable and skilled program coordination and support to the department.

This position’s work location is hybrid with two or three days per week remote. The selected candidate may only work remote days from a New England state (ME, VT, NH, MA, CT, RI).  

Responsibilities

  • Provides specialized administrative support in the development, implementation, and marketing of program/project function.
  • Supports planning and coordination of a program and its activities.
  • May monitor budget, track expenditures/transactions, and handle financial administration projects
  • May serve as primary administrative coordinator of nursing operational schedules, in partnership with nurse director.
  • Coordinates meetings, conferences, and retreats including booking rooms or venues, ordering food, and arranging and running audiovisual equipment related to program.
  • Staffs committee meetings including preparing agendas, generating minutes, following up on action items and supporting related committee initiatives and projects.
  • Serves as a central point of contact between staff, other departments, and/or external constituencies on day-to-day programmatic, operational, and administrative matters; assists with seminars, meetings, special projects, and/or general problem resolution.
  • Maintains and manages processes associated with varied programs, projects, and events.
  • May provide support to senior members of NPCS such as calendar management, meeting preparation, and coordination of travel arrangements.
  • Prepares documents such as correspondence, reports, letters, presentations, organizational charts, spreadsheets, meeting minutes, packets, binders, and flyers and distribute department-wide communications.
  • May work on special assignments and projects as needed.
  • Keep all members of the team up-to-date with relevant program information.

SUPERVISORY RESPONSIBILITIES:

May supervise workforce development students or interns.

Qualifications

  • Bachelor's degree.
  • 3 years relevant experience working in a medical or scientific research setting or comparable technology-oriented business environment.
  • Demonstrated aptitude for learning new technology.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Strong knowledge within Microsoft Office Suite particularly Excel, as well as familiarity with Microsoft Publisher, Visio.
  • Strong customer service skills and the ability to interact professionally with peers, leadership, and external contacts.
  • Strong critical thinking skills.
  • Excellent written and oral communication skills.
  • Strong interpersonal and communication skills and the ability to work closely and effectively with all levels of within the organization in a diverse community.
  • Strong project management skills.
  • Ability to prioritize work and execute deliverables for multiple people and programs.
  • Ability to be flexible and collaborative.
  • Advanced ability to organize, prioritize, and follow-through.
  • Ability to gather statistical data and generate reports.
