Coordinator, Faculty Budget

Job Description

Job Summary

Administer the daily activities and expenditures funded through the Faculty Professional Development Fund Program and is the subject matter expert for all faculty travel and expense inquiries. Provides technical and/or navigational assistance to support faculty, training, website updates, customer support, etc.

ESSENTIAL FUNCTIONS

Administer the faculty travel authorization and expense reimbursement system including any correspondence with faculty related to the travel and expense management system as well as any of the college’s travel expense issues, processes and/or procedures.

Serve as point of contact for all travel related expenditures funded through the Faculty Professional Development Fund and a resource for problem resolution of any issues and concerns.

In collaboration with the District Travel Office, resolve and address any concerns related to faculty travel funded by the Faculty Professional Development Fund.

Maintain associated faculty travel records, databases, spreadsheets, and travel and expense software related to Faculty Professional Development Fund expenditures to generate periodic and ad hoc management exception reports.

Provide regular reports on available travel credits for faculty to recoup travel credit and repurpose it to other employees as approved by the Executive Director.

Assist with unapproved/declined travel authorizations; help faculty with reconciliation/resolution of issues and request and verify receipts as necessary for policy compliance.

Monitor expenditure trends, possible violations and taxes collected, and make recommendations on findings to the Executive Director.

Maintain the Faculty Professional Development web page, training, and travel procedures manual on an annual basis or as updates are needed.

Provide faculty with travel-related guidance with online video tutorials/webinar training as needed.

Assist and coordinate travel issues for stranded faculty in emergency situations.

May need to assist outside normal business hours on nights and weekends.

Perform other duties, tasks and assignments as required.

QUALIFICATIONS

Education & Experience

         Bachelor degree in a Business-related field or related field required

         Associate’s degree plus 2 years related experience may be considered in lieu of required degree

         4 years related experience required

         Experience working in an educational setting preferred   

Licensing & Certification

         Valid Texas Driver License

Working Conditions

General Office.  Must be able to perform all job requirements with or without reasonable accommodations; remain in a stationary position during shift; move items weighing up to 25 pounds; position self to operate job equipment; apply established protocols in a timely manner.  Must access, input and retrieve information from technology devices; communicate with others to accomplish job requirements.  May be required to work after hours to include weekends and holidays.
