Classified III, Admissions Specialist

The Classified III, Admissions Specialist is responsible to the Director of Enrollment Management/Registrar for providing support for all Admissions, Recruiting, and Registrar processes and programming at Vernon College. This is a security-sensitive position and is subject to a criminal history record. (Texas Government Code 411.094 & Texas Education Code 51.215).

Duties and Responsibilities:

  1. Provide secretarial duties assigned by Director of Enrollment Management/Registrar and Assistant Registrar including but not limited to arranging conferences, meetings, and travel reservations for office personnel; processing requisitions, expenses, and invoices for all office purchases, maintaining supplies of materials and forms used for the routine function of the office; retrieving and distributing documents received by mail and fax.
  2. Function in a multitask environment; receive visitors (in-person, telephone, email, virtually) courteously and professionally; determine individual’s needs and provide accurate information accordingly; correctly refer and provide next steps/questions.
  3. General knowledge of class schedules, College catalog, and College processes (e.g., processes from application to enrollment and course management to completion) in order to provide accurate information to current and prospective students.
  4. Proficient in the use of technology (e.g., Excel, POISE, Colleague, DocuBase) in order to process prospective and current students from application through completion.
  5. Provide outreach, scheduling, student onboarding, and process support for prospective students and students for all Admissions, Recruiting, and Registrar programming.
  6. Maintain Admissions, Recruiting, and Registrar student records and confidentiality of all student information; including Continuing Education student records.
  7. Responsible for the transcript evaluation process.
  8. Create, schedule, and execute communications (e.g., print, email, text) to prospective and current students.
  9. Supervise work-study students assigned to the office.
  10. Maintain the Admissions and Records webpages and forms; serve as a back-up for Recruiting webpages and forms.
  11. Assist the Assistant Registrar with International student processing.
  12. Assist in all student programming, registrations, and ceremonies as assigned.
  13. Organize and update promotional materials including but not limited to handouts, bulletin boards, video monitors, and website.
  14. Assist with the maintenance and updating of all Admissions, Recruiting, and Registrar resources, materials, and forms.
  15. Responsible for Admissions (e.g., application, required documentation/processes, holds), Recruiting (e.g., prospect tracking, tours, new student checklist/Q&A), and Registrar (e.g., transcript evaluation, major declaration, course registration, course management, degree and certificate completion) processes; includes continuing education and international students.
  16. Responsible for providing back-up to the switch board, Recruiting Coordinator, and other Admissions Specialists (both Classified II and III).
  17. Responsible for aiding in the success of individuals by helping students choose and enter their pathway and helping students stay on their path.
  18. Participate in development opportunities for continuous improvement in professional skills (e.g., computer, software, secretarial, customer service).
  19. Function as a team member of the Division of Admissions, Recruiting, and Registrar professional staff in the development and implementation of processes necessary to accomplish the goals and philosophy of the division and the College.
  20. Assume duties and responsibilities as assigned by the Director of Enrollment Management/Registrar, Assistant Registrar, Vice-President of Student Services, and/or the President.

Travel Required: Limited (Required staff meetings/registration)

Experience and Training: Strong communication, interpersonal and organizational skills, both oral and written. Good customer service skills. Must be detail oriented. Experience using technology and designing communications (e.g., print media, email, text) preferred.

Education: High School diploma: Associate Degree preferred.

Knowledge, Skills, and Abilities: Demonstrated ability to work effectively both independently and as part of a team. Ability to establish/maintain appropriate and effective communication and interpersonal relations throughout the campus, college and local community. Maintain a positive, professional and businesslike manner to students and other personnel, at all times. Knowledge of and experience with computer systems, programs and applications.

Preferred Qualifications: 1-3 years experience in education or related field. Prior experience working in a college admissions/registrar environment is preferred. 

Minimum Educational Qualifications: High School Diploma

Salary or salary range: This is a fulltime 12 month position that receives fulltime benefits. This is a Classified III position on the Classified salary scale. The salary is $25,441 to $27,407 based on experience. Applications will be accepted until May 20th. This position is available immediately.
