Advancement Services provides timely, accurate and actionable resources to enhance fundraising and engagement activities at NC State University. We achieve this through effective business intelligence and reporting, compelling donor research and analysis, innovative technology, quality donor and alumni information, and superior customer service, all while applying ethical gift and data management practices. Advancement Services supports the operations of Alumni Engagement and Annual Giving, University Development and University Communications as well as college and unit advancement offices. The unit oversees the University’s alumni & donor database (Ellucian’s Advance Web solution), analytics and reporting systems, processing gifts and conducting research about potential contribution opportunities. Advancement Services also maintains financial records, conducts donor research, receipts private gifts following the NC State Standard Operating Procedures for Acceptance of Gifts, administers the corporate matching gifts program, updates & verifies alumni records, manages donor prospect tracking systems, and plans and manages gift agreements & endowment reports.

The Office of Donor Services is an award-winning team that strives for excellence and innovation, focused on standard and non-standard gift agreements, distinguished professorships agreements, endowment reporting, donor/honoree legacy pages and naming opportunities. The office also serves as a partner to fundraisers in guiding through IRS, federal and state laws and regulations related to charitable giving and gift agreements. Donor Services is a fast-paced office that partners with the General Counsel, Foundation Accounting and Investment, the Provost Office, and Scholarship and Financial Aid to negotiate donor intent clauses between fundraisers and donors.

Essential Job Duties

This Donor Services Specialist will ensure all processes, gift agreements, which are legally binding documents, are consistent with the university, foundation, federal, and state policies and practices. Donor Services is seeking an individual who enjoys working in a fast-paced and innovative team environment. The ideal candidate will have superb writing skills and will be capable of working with processes that require analytical skills and problem-solving, being responsible for many simultaneous and detail-oriented duties, and working directly with frontline fund development staff. This position will report to the Associate Director of Donor Services.

This position will be responsible for the following:
  • Draft, review, and approve gift agreements.
  • Provide assistance in reviewing gifts or gift agreements for compliance with IRS regulations, CASE standards, University policies, best practices, and Advancement operational guidelines.
  • Coordinating in the review process with legal, scholarship, and financial aid.
  • Developing talking points for front-line fundraisers.
  • Tracking and coordinating processes related to gift agreements.
  • Providr support in researching gift agreements and endowment history.
  • Other job duties or projects as assigned.

Other Responsibilities

  • Miscellaneous special projects as assigned by supervisor.

Minimum Experience/Education

Bachelor’s degree in a discipline related to the area of assignment; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.

  • Effective verbal and written communication.
  • Advanced Proficiency in Microsoft Applications (e.g., Word, Excel, PowerPoint, etc.) and Google Workspace Suite.
  • Ability to quickly learn new software applications.
  • Excels in utilizing technology in everyday work, problem-solving, and process improvement.
  • Exceptional problem-solving and analytical skills.
  • Experience working with confidential information.
  • Excellent customer service skills.
  • Exceptional attention to detail.
  • Knowledge of legal contract writing and negotiating.
  • Expertise in writing, including use of English grammar, punctuation, spelling and syntax.
  • Ability to conduct independent research.

Preferred Qualifications

  • Previous experience in one of the following: advancement services, donor relations, donor services, gift compliance, gift administration, communications, stewardship writing, development, fundraising, research related to fundraising, reporting, legal writing, contracts, grant writing or related field preferably in large/complex organizations such as higher education, private school, foundation, health care systems or non-profit.
  • Experience in professional writing and editing.
  • Experience in project tracking software such as Smartsheets.
  • Database system and process tracking experience.
