Essential Job Duties

This is an internal posting for current NC State permanent and temporary employees, and candidates with RIF priority.

The Facilities Operations Coordinator assists the Facilities Operations Manager with all tasks related to the day-to-day facilities and operations responsibilities for the Wilson College of Textiles through a combination of project coordination, and physical activity– ensuring timely customer support for faculty, staff, and students.

The position serves as a key facilities contact for the Textiles Complex, communicating with and coordinating with numerous centralized campus services to address maintenance (AC issues, elevator issues, restrooms, pests, spills, lighting, etc.), physical security, safety, housekeeping, mail, and shipping and receiving. In addition, this position will coordinate the logistics of faculty/staff office relocations, event management, access management (keys, cipher codes & key card access).

The position works directly with faculty and staff as the project coordinator for physical upgrades and improvements to teaching labs, research labs, and general facilities; guiding these projects through the campus facilities modification process and work order system, and coordinating construction activities with external contractors/vendors and University Facilities, Recycling, Surplus, ComTech, etc. as needed.

The ideal candidate will have demonstrated project management skills, excellent communication skills (written and oral), attention to detail, and be a self-starter. This is an active position, requiring regular mobility, to address needs in multiple locations. Coordination and physical activity will be required to move furniture and equipment with help as needed.

The position will also train and work with temporary student technicians.

  • Additional key responsibilities include:
  • Serve as a key Service Desk phone contact (Hunt Group phone line)
  • Facilitate the annual capital asset equipment inventory process
  • Maintain building signage and directories
  • Coordination of file and equipment storage and its secure destruction, recycling, or surplus
  • Create and update facilities operations internal and external knowledge base articles including how to guides for using event spaces, storage rooms, shared signage, and other facilities resources.
  • Serve on college committees as needed
  • Attend training classes and workshops as needed for systems required by job duties (SimpleK, AIM, etc)
  • Physical labor as needed, such as moving equipment/furniture, assisting with departmental event setup or breakdown, and reconfiguration of offices and labs.
  • Safely and efficiently load and unload large deliveries including the operation of fork lifts, pallet jacks, loading dock lift gates.

Other Responsibilities

  • Facilitate the access management operating procedures including issuing building keys for the Textiles Complex.
  • Monitor key assignments and the need to maintain building security
  • Other special projects and duties as assigned by the supervisor
  • Assist/back-up the College Facilities Liaison as needed

Minimum Experience/Education

High school diploma or equivalency.

Other Required Qualifications

  • Experience managing people or projects
  • Excellent written and verbal communication skills
  • Experience utilizing construction Knowledge – able to read and understand floor plans, construction proposals and communicate effectively with contractorsDemonstrated to be reliable and punctual and have a strong work ethic
  • Proven to be detail oriented
  • Working knowledge of Google Suite, Microsoft Excel, and able to learn new systems and technology with ease
  • Excellent organizational skills and the ability to keep track of and prioritize a wide variety of tasks, projects, deadlines and responsibilities
  • Able to lift up to 50 pounds frequently, with or without reasonable accommodations; able to utilize dolly and pallet jack to move heavy furniture and equipment
