Human Resources Assistant - Part-time

General Description:

Primary first-level contact for callers and visitors to the Human Resources Department, answering questions and providing information as requested. Assists College employees with Human Resources questions, fee waivers and other materials as requested. Provides administrative support.

Responsibilities: (non-inclusive)

  • Projects a helpful demeanor at the main reception desk while welcoming, engaging, and answering questions of callers and visitors to the Human Resources Department.
  • Develops and maintains familiarity with Human Resources policies, procedures, website and portal information/pages, forms and documents in order to provide extraordinary customer service when answering a wide variety of questions related to the College, employment, and benefits.
  • Provides administrative support for various human resources functions, e.g., updates job descriptions, posts vacancy announcements with the department’s applicant tracking system, schedules rooms, makes photocopies of needed materials for interviews, schedules interviews, compiles documents needed for orientation, benefits fair and other special events; completes online state-required new hire report; prepares materials for special mailings.
  • Receives, logs, and disseminates as appropriate a variety of forms such as Personnel Action Reports and signed Faculty Assignment Sheets.
  • Utilizes Banner to respond to inquiries, may perform some data input as needed.
  • Operates fingerprinting equipment for post-offer, pre-employment background checks.
  • Assists new employees with completing forms as needed. Prepares personnel files and ensures all necessary documents are received (e.g., transcripts, application materials, etc.), scan into HR system.
  • Prepare, manage, inventory, and facilitate the Service Awards program, including the Distinguished Service awards and the Employee of the Semester award.
  • Process invoices using Clockshop.
  • Monitors office supply levels and places orders to replenish supplies as needed.
  • Performs related duties as assigned.

Qualifications:

Education/Training and Experience Required:

  • A minimum of an associate degree, preferably in Human Resources, or a related field.
  • A minimum of three years working in a busy office open to the public in a role that emphasized customer service, competence with the Microsoft Suite (especially Word and Excel), and attention to detail.
  • An equivalent combination of education and experience that provides the knowledge, skills and abilities is acceptable.

Knowledge, Skills and Abilities:

  • Knowledge of general human resources and employment principles.
  • Strong verbal and written communication skills.
  • Strong interpersonal skills.
  • Exceptional time management, organizational skills and attention to detail.
  • Abilities to maintain office decorum and confidentiality.
  • Proficiency to utilize technology and software applications independently and effectively.

Physical Activity Level:

  • Light – sit, bend, stand and walk, lift up to 20 lbs. occasionally.

CONDITIONS OF EMPLOYMENT: This is a part-time, continuing status staff position in salary grade 6A of the staff salary schedule. M-Th 8:30-4:30.
