DESCRIPTION

The Herbert Wertheim School of Public Health and Human Longevity Science is dedicated to creating and promoting public health innovations to advance equity, justice, and well-being for all. The School focuses on health, diversity, inclusion, and social equity in everything we do. In working to fulfill that vision, we are comprised of more than 125 primary appointed faculty and academics, 200 staff members, and 25 secondary appointed faculty and provide mentorship and instruction to 750+ BSPH undergraduate major students and 225+ postgraduate students across six degree programs as well as a clinical residency. We conduct research and instruction in public health disciplines such as Biostatistics and Bioinformatics, Climate & Environmental Health, Community Health Services & Preventive Medicine, Epidemiology, Global Health, Health Behavior, Health Equity & Justice, Health Policy, Public Mental Health & Substance Use, and Technology & Precision Health, totaling ~$125M in grants and contracts and housing five research service cores. We engage in research and teaching collaborations across the University and the community at-large. Partnerships with the community and with health agencies are fundamental to the School.

The position will provide a variety of complex administrative support functions for the Education Programs within the Herbert Wertheim School of Public Health and Human Longevity Science: the Bachelor of Science in Public Health (BSPH), Master of Public Health (MPH), Joint Doctoral Program in Public Health with SDSU (JDP), and Biostatistics Masters and Doctoral Program.

Specifically, this position will serve as the administrative point of contact for the education program coordinators; responsible for providing support in various programmatic tasks such as: assisting in the creation and monitoring of instructional support (TA, Reader) campaigns; leading the course scheduling process for all education programs; coordinating logistics for course room reservations and parking spaces; scheduling education program-related meetings and events; processing student reimbursements; and overseeing logistical processes for program-related events (e.g. food ordering, event set-up and breakdown, processing payments and reimbursements).

This position will also perform general office duties including overseeing and maintaining office and classroom space and equipment (e.g. printer/copier, computer kiosks, badge access), purchasing and tracking classroom and office-related supplies using a variety of UC San Diego on-line systems, and leading faculty travel and course-related expenses.

MINIMUM QUALIFICATIONS
  • Four (4) years of related experience, education/training, OR a Bachelor's degree in related area.

  • Ability to use sound judgment in responding to issues and concerns.

  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Demonstrated outstanding interpersonal and communication skills including tact, diplomacy, and flexibility in dealing with all levels of faculty, student academics, staff and management, guests, vendors, and the general public. Ability to use diplomacy, tact, and discretion in all interactions.

  • Solid organizational skills and ability to multi-task with demanding timeframes. Excellent skills in independently prioritizing and organizing workflow with accuracy and the ability to meet multiple deadlines.

  • Working knowledge of common organization-specific and other computer application programs. Solid computer skills in Word, Excel, and PowerPoint, the corresponding Google docs programs, Zoom, Doodle / WhenisGood.

  • Ability to use discretion and maintain confidentiality. Ability to recognize issues of a highly sensitive and confidential nature and ensure that administrators are briefed in a timely manner.

  • Ability to set priorities in order to meet established deadlines; skills to work effectively in a high volume environment, dealing with numerous detailed projects simultaneously on short deadlines. Ability to work with minimum supervision, but also function effectively as part of a team.

  • Excellent administrative skills including maintaining calendars, scheduling and organizing meetings, retreats/workshops, and organizing files. Demonstrated experience in arranging, coordinating, and hosting visitors such as special speakers, including accommodations, transportation, group meals, multi-day itineraries, etc.

  • Ability to present a professional, positive impression in person, on the telephone, and through written correspondence.

PREFERRED QUALIFICATIONS
  • Demonstrated experience in the areas of educational programs, course scheduling, and UC San Diego student systems.

  • Knowledge and experience with UCSD systems (Concur travel and reimbursement, Oracle punch-out purchasing and POs, Facilities Maintenance).

SPECIAL CONDITIONS

Pay Transparency Act

Annual Full Pay Range: $63,580 - $98,282 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.45 - $47.07

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
