Brown and Caldwell is seeking an Executive Assistant to directly support the Chief Technical Officer (CTO) and the Technical Services department. The ideal candidate is a positive, self-motivated individual who enjoys multi-tasking and working in a fast-paced corporate environment. This individual will also indirectly support the broader Technical Services department and will have the opportunity for routine interaction with various business groups and leaders within the company. This position will report to the CTO.

Detailed Description:

Brown and Caldwell is seeking an Executive Assistant to directly support the Chief Technical Officer (CTO) and the Technical Services department. The ideal candidate is a positive, self-motivated individual who enjoys multi-tasking and working in a fast-paced corporate environment. This individual will also indirectly support the broader Technical Services department and will have the opportunity for routine interaction with various business groups and leaders within the company. This position will report to the CTO.

*This role will primarily work virtually and can be filled near any BC office, preference of San Diego, CA, Irvine CA, or Denver, CO.

What you will do:

  • CTO and Technical Services Support:
    • Perform a wide variety of administrative duties including calendar management, expense report preparation, and assist with special projects as required.
    • Schedule and maintain daily and long-term calendar for both internal and external meetings including agenda development, meeting notes and tracking.
    • Manage travel itineraries and coordinate related arrangements, including CTO travel and quarterly team offsite meetings.
  • Support and execution of complex projects as assigned - coordinating, researching information, updating databases, managing review meetings, creating monthly reports for analysis, and managing complex workflows.
    • Coordinate and compose the preparation of emails, reports, spreadsheets, agendas, meeting minutes, presentations and other complex and sometimes time sensitive documents.
    • SharePoint, Power BI analyses (auditing, reviews, etc.) to assist with data management, compliance, findings, trending, and action plan development/communications.
    • Assist with preparing quarterly performance reports for company leadership.
    • Assist with team's ability to keep information current, including training and awareness through various channels.
    • Assist in the onboarding process of new team members.
    • Participate in monthly executive assistant group calls and coordinate with admin team regarding annual business planning and company initiatives.
  • California Urban water Agencies (CUWA) Support:
    • Lead Administrator for non-profit client Board, with an opportunity to contribute to meaningful work being performed in CA Water
    • Provide high-level support for the Executive Director, client project team, Board Members, and their broader agency staff
    • Coordinate Board Meetings, Offsite Workshops, Engagement with Partner Organizations and State Leadership
    • Create strong client relationships and assist with other miscellaneous duties including board report preparation, onboarding new members, invoice processing, website updates and heavy calendar management

Desired Skills and Experience:

  • Bachelor's degree preferred
  • A minimum of 5 years Executive Assistant experience (or similar role) required
  • Excellent verbal and written communication skills
  • Demonstrated good judgment and sense of diplomacy
  • Ability to maintain confidentiality of sensitive business and personal matters
  • Outstanding interpersonal skills, telephone manner and customer service skills
  • Ability to work well under pressure in an ever-changing environment while maintaining poise and professionalism
  • Strong organizational skills with a proven ability to follow-through
  • Ability to manage multiple job demands and prioritize with little supervision
  • Exceptional attention to detail
  • Ability to work collaboratively with a team as well as alone
  • Outstanding problem-solving skills
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, SharePoint and Power BI and an overall aptitude for technology.
  • If working remotely, good/reliable internet connection and ability to work productively is required.
  • Ability to travel is required (up to 20%)

Salary Range: The anticipated starting pay range for this position is based on the employee's primary work location and may be more or less depending upon skills, experience, and education. These ranges may be modified in the future.

Location A:
Salary: $33.50 - $46.00

Location B:

Salary: $36.90 - $50.60

Location C:

Salary: $40.20 - $55.20
