Scheduler/Program Assistant

Job Description

SCHEDULER/PROGRAM ASSISTANT, Office of the Provost-MIT Venture Mentoring Service (VMS), to execute administrative tasks critical to the effectiveness of VMS.  Will coordinate with fellow VMS staff members to ensure efficient day-to-day operation of the VMS office, working under direction and supervision of the operations manager and in collaboration with the program assistant. Responsibilities include greeting and assisting guests of the VMS office; scheduling and managing mentoring sessions between each venture and their mentor team; filing, managing, and organizing sensitive program materials related to venture development; maintaining the program database; and managing the day-to-day operations of the VMS office space. 

The MIT Venture Mentoring Service (VMS) currently works with ~200 volunteer mentors and ~300 venture start-ups to provide free, confidential, and unbiased business guidance to members of the MIT community.  

Job Requirements:

REQUIRED:  high school education or its equivalent; three years’ administrative, office, or related experience; proficiency with Microsoft Outlook for email, Dropbox for file management/sharing, and Microsoft Excel and Word; familiarity with Quickbase or other database tools; excellent organizational and verbal and written communication skills; attention to detail; and tact, good judgment, and discretion with confidential and sensitive information.  Must be able to set priorities, juggle several activities simultaneously, and adapt quickly to last-minute changes in a fast-paced environment; follow directions closely, researching and/or troubleshooting problems as appropriate and/or asking for assistance and receiving feedback as necessary; maintain a congenial environment for guests of the VMS office; and work both independently and as part of a team.  PREFERRED:  Experience working in a start-up organization, entrepreneurial environment, or business setting.   Job #23844-5

Starting salary range:  $47,000 - 56,000, based on experience and internal equity

Infrequent evening hours may be requested based on particular program events.
