The Pulte Institute for Global Development, an integral part of the Keough School of Global Affairs, combines the existing world-class teaching and research faculty of the University of Notre Dame with a dedicated staff of experienced international development professionals, administrators, and researchers to address global poverty and inequality through policy, practice, and partnership.
The Part-Time Administrative Coordinator will be responsible for providing administrative support to the Pulte Institute Manager and Pulte Institute leadership. This entails planning and carrying out assignments, including meeting scheduling and minutes; correspondences; reporting and office record keeping; office mailings and supply orders; processing travel reimbursements, and helping to maintain Pulte Institute databases. The position also helps organize and coordinate Pulte Institute visitor logistics on campus and assists the Pulte Institute Manager to coordinate Pulte
Institute events both on and off campus. More details include:

- Guest and Event Coordination: The position assists the Pulte Institute Manager in organizing and coordinating Pulte Institute visitor logistics on campus. The position also assists in the organization of events both on and off campus throughout the year. For certain externally funded grant programs, the Administrative Coordinator may be responsible for overseeing international travel, visas, and pre-departure preparation assistance under federal government grants which require student and faculty travel to developing countries.
- Office Operations: The position is a representative for the Pulte Institute Office and responds to calls, walk-in visitors, and inquiries. The position coordinates logistical and administrative matters and handles all other office-related duties as assigned by the Institute Manager. This includes helping with office mailings, office supply orders, office upkeep, updating office databases, and other tasks as required.
- Administrative Support: The position provides administrative support to the Pulte Institute Manager and Pulte Institute leadership. The position assists with calendar scheduling, meeting minutes and follow-up, makes travel arrangements, provides support to expense reimbursement processing, and assists with developing and editing reports, proposals, presentations and other correspondences.
This role will work an average of average 25 to 29 hours per week; most work will be performed on campus (in person) with the potential for one day a week remote, once established.

- Ability to organize and present information in a logical manner.
- Excellent interpersonal skills and demonstrated ability to interact professionally with colleagues from culturally diverse backgrounds and in different settings.
- High standards of confidentiality, discretion and integrity.
- Proven ability using judgement, work independently, and successfully work on teams in addressing a variety of issues.
- Excellent English writing and editing skills.
- Proficiency in use of internet, email, and business software (Microsoft Suite and/or Google Suite).
- High school graduate (or GED or equivalent).
Preferred Qualifications
- 1-2 years of experience in administrative or related roles
- Bachelor’s degree
