Job Description:

The Admissions Clerk - WCC (Spanish Speaking) at Westchester Community College plays a pivotal role in facilitating the admissions process and ensuring effective communication with Spanish-speaking applicants. This position involves providing general information, processing applications, and performing clerical tasks within the Admissions Office.

The incumbent will:

  • Communicate orally and in writing in both Spanish and English to effectively assist Spanish-speaking applicants and provide clear information about the admissions process.                                                                                           
  • Collect and assess documentation.
  • Review Admissions applications and accompanying documents as it is received (i.e. electronically, by mail, fax, or in-person)
  • Conduct initial eligibility screening for general admission to the College and determine whether all supporting documents are included with application and acceptable
  • Determine student admission status based on information supplied on the application and documentation supplied
  • Admissions application data entry/processing (online and paper) and updating records on PeopleSoft, letter mailings, filing, and answering phones.
  • Check for accuracy of data and follow up with students if clarification is needed
  • Create folders for all newly entered students
  • Maintain application folder including the transcripts that must be included when received
  • Scan all documents into the Onbase Imaging System
  • Maintain and update PeopleSoft regarding the application status, completion of file, missing items, update codes when transcripts are received, etc.
  • Prepare routine correspondence related to admission status
  • Process supporting documents (high school transcripts, HS diplomas, GED Diplomas, SAT/Act scores, etc.).
  • Periodically cover the front desk during Receptionist's lunch/absence to provide information to new and continuing students, faculty, staff, and general public.
  • Respond to a large volume of inquiries (in-person or phone)
  • Provide informational dates and make appointments for special information sessions/campus tours provided by the Admissions Counselors
  • Refer students to other student services on and off campus
  • Semesterly review and purge of old records.
  • Assist in preparation of and participate in admission on campus events (i.e. Open Houses, Saturday Enrollment Days, etc.) 
  • Perform additional duties as assigned by the Assistant Director of Admissions and Director of Admissions.


Requirements:

REQUIRED QUALIFICATIONS:  *This is a Civil Service position.  The final candidate will be required to take and pass the Civil Service Exam.*  Possession of a high school or equivalency diploma, and one year of clerical experience where a primary function of the position was the performance of clerical functions which involved the maintenance of records. Satisfactory completion of 30 credits at a recognized college or university may be substituted on a year for year basis for up to one year of experience. The successful candidate will be proficient in both English and Spanish languages to effectively communicate with Spanish-speaking applicants, students, parents, and the community.

  • Strong organizational skills and attention to detail to accurately process applications, maintain records, and handle documents.
  • Ability to work efficiently in a fast-paced environment and handle multiple tasks simultaneously.
  • Excellent interpersonal skills to interact professionally with faculty, staff, students, and external stakeholders.
  • Flexibility and adaptability to accommodate changing priorities and responsibilities within the admissions office.
  • Experience working in an educational institution.


Additional Information:

POSITION EFFECTIVE:   The position will remain open until filled.

WORK SCHEDULE: The work schedule is Monday-Friday:  9:00 am - 5:00 pm.

SALARY & BENEFITS: The starting salary is $41,565.  Additional compensation with seniority steps maximize at a salary of $49,398.  Benefits include comprehensive health coverage, a choice of defined benefit and/or defined contribution pension plan, generous leave benefits, and access to tax sheltered annuities and a deferred compensation plan.
