Scope of Position

The Construction Project Administrator is responsible for providing administrative support to various components of the Engineering, Procurement, and Construction (EPC) team including the Director of Project Management, Project Managers, Project Engineers, and Superintendents, to efficiently, successfully, and profitably complete EPC projects and support the administration of related business functions. The Project Administrator will support multiple EPC projects at a time.

Working Conditions: Approximately 95% of time is spent in the office environment, utilizing computers (frequent use of various Microsoft software/programs), phones, and general office equipment. Occasional travel (up to 5% of the time) to other company offices, project sites, conference, etc.

Location: This position will be based in either of our Columbia, MD or West Lebanon, NH offices and offers hybrid flexibilty.

Responsibilities
    Assume responsibility for project administrative duties with minimum supervision and manage responsibilities among multiple projects keeping individual project deadlines on track.
  • Effectively use project management software for managing commitments, change orders, bid packages, submittals, RFIs, etc. Manage the procurement tracker and monitor the construction project tracker.
  • Work with subcontractors to ensure timely and accurate completion of prevailing wage (certified payroll) reports and apprenticeship agreements.
  • Support Superintendents and other project team members working at remote job sites: procure job soft cost items (storage s, UTVs, dumpsters, etc.); assist with travel logistics and expense reporting; order and maintain current labor law postings for each project site.
  • Assemble project close-out documents, warranties, and operation and maintenance (O&M) manuals for the project owner.
  • Track and ensure proper approvals/signatures on project documentation.
  • Obtain, review, and track current certificates of insurance from subcontractors.
  • Coordinate, schedule, and participate in project meetings; maintain attendance logs; prepare project meeting minutes.
  • Other duties as assigned.
Qualifications

Education/Experience - Typically requires:

  • College degree preferred.
  • Minimum of five years' experience in the solar/renewable energy, construction, or engineering industries with similar responsibilities preferred.
  • Minimum of five years of office administration experience.

Skills/Knowledge/Abilities - Requires knowledge of:

  • Proficiency in MS Office environment (Word, Excel, Outlook, PowerPoint, Teams, Project), Adobe or Bluebeam.
  • Proficiency in or ability to learn Sage Construction Project Center and Procore for project management.
  • Effective utilization of the internet as a research and information resource.
  • Excellent time management and organizational skills.
  • Understand construction language and ability to communicate effectively within the construction/ engineering/renewable energy environment.
  • Ability to adapt easily and accept changing situations.
  • Excellent verbal and written communication skills.
  • Ability to work independently as well as within a team environment.
  • Ability to take direction from multiple people.
  • Ability to support multiple people within the department.
  • Ability to maintain confidential information.
  • Ability to multi-task and prioritize.
