Summary of Position

Keene State College is seeking a highly skilled event planner, scheduler, and multi-tasker with exceptional customer service skills to serve as the Director, Campus Ceremonies and Event Scheduling.

Reporting to the Vice President of Finance and Administration, the Director is responsible for updating the 25Live Scheduling System, making necessary modifications and improvements to the system and staying abreast of the new services offered by the software and implementing those appropriate for campus; provides training to faculty and staff on the scheduling system to increase understanding of the tool and increase reservation efficiency; works closely with college leadership and other key staff to develop policies and procedures, guidelines, checklists, and planning tools; works with the team of schedulers and provides professional expertise and direction to ensure successful execution of event leadership and ensures institutional brand and adherence of policies and procedures set forth by this group.

Additional responsibilities included: serving as the point person for large campus ceremonies, working with campus resources, managing logistics, and performing administrative tasks; executing prominent college events to generate maximum exposure and support the institution’s mission, vision, and values; providing tools to empower individuals in the areas of planning and execution of events to ensure successful events; ensuring an exemplary commencement experience through expert planning and leadership and works closely with campus partners to create a well-trained and viable events volunteer program for the college.

  • 3-5 years’ experience in event management or related experience
  • Experience in planning special events that require complex, logistical production and high-level organization of tasks.
  • Excellent organization, written and oral skills.
  • Experience leading and directing teams, ability to collaborate with departments.
  • Experience with software and systems, and desire to learn and adapt to new technology.
  • Demonstrate knowledge of good judgement in matters of mission, vision, and values.
  • Proven leadership in the management and execution of high caliber events.
  • Demonstrated ability to work in a fast-paced environment.
  • Proven responsibility with budget management and contract negotiation.
  • Demonstrated initiative-taker, adaptable and flexible management skills with the ability to pivot quickly based on needs.
  • Ability to represent the college with professionalism, poise, tact and sincerity.
  • Ability to maintain effective working relationships with faculty, staff, and students and must be able to work effectively as part of a team and independently as the project lead.
  • Ability to work non-traditional hours as required, including evenings and weekends.
  • Demonstrated supervisory skills.

Additional Preferred Qualifications

  • Experience with 25Live Software.
  • Event management experience in a college or university.
  • Bachelor’s degree in Hospitality, Event or Project Management, Service Management, or related field.
  • Work experience in a college/university environment.
  • Event and conference sales and management experience.
  • Experience in or strong familiarity with Keene State service departments.

Duty/Responsibility

Campus Ceremonies
  • Serve as lead for large institutional ceremonies -Commencement, Spring and Fall Honors Convocation, Presidential Inauguration, and other events requested by the Office of the President.
  • Provide professional expertise for other institutional events -Master’s Commencement & Hooding Ceremony and other events as requested.
  • Work directly with Institutional Research, Student Engagement, Provost’s Office, the Registrar’s Office, etc. to gather necessary data.
  • Direct college staff and campus partners on effective and timely follow-up on events as needed.
  • Provide leadership around event production and execution.
  • Collaborate with campus partners on Crowd Manager (CM) Training -create policy and procedures, and work with campus safety on a training program.
  • Oversee coordination of timeline and schedule for institutional events.
  • Manage relationships with new vendors and oversee the maintenance of current vendor relationships.
  • Collaborate with USNH Procurement office on RFBs for annual and 3-year vendor contracts.
  • Serve as onsite director, solving event issues, directing staff and volunteers, and overseeing event logistics.
  • Oversee regular review and updating of emergency plans related to each event.
  • Ensure compliance with USNH and KSC policies and procedures.

Duty/Responsibility

Administrator of 25Live System
  • Serve as administrator for the 25Live System and work directly with the CollegeNET team, 25Live creators, to provide the best use of the software to benefit the system for the college.
  • Maintain, modify, update, and improve the use of the 25Live Scheduling System
  • Provide training on the 25Live System to college faculty and staff and all new hires, increase their knowledge of scheduling system, increase efficiency of scheduling and ease of reserving on campus spaces.
  • Guide the development of policies and procedures in the areas of standardized scheduling policy and procedures.
  • Create and enforce a space usage policy around campus facilities to ensure a balanced and appropriate use of campus spaces.
  • Enforce the Scheduling and Space Usage policies and ensure adherences for all events.
  • Create and maintain event guidelines and checklists for expert planning and execution.
  • Work closely with campus leadership around budgeting, planning and execution of prominent campus events to ensure appropriate marketing and exposure.
  • Update institutional website with pertinent information about spaces, scheduling policies and event guidelines and checklists.
  • Meet with campus schedulers/approvers to collaborate on improvement to the system, update policies and procedures, guidelines and checklists and campus events and discuss campus calendar of events.
  • Create and track Master Calendar of Events including all major events, holidays, campus closures.
  • Collaborate with Marketing and Communications on internal communications around policies, guidelines, checklists and events.
  • Hold and Maintain 25Live Publisher Seat
  • Participate in 25live System Training at CollegeNET Headquarters in Portland, OR.
  • Attend Annual CollegeNET 25Live Seminars in Portland, OR.
  • Create a well-trained volunteer program in collaboration with campus partners.
  • Work with campus and community partners to create appropriate pricing structure.
  • Troubleshoot system issues and work quickly to resolve them.
  • Manage billing and contract(s) for internal events with campus partners.

Duty/Responsibility

  • Strategically determine capacity for external events on campus and assist coordinator as necessary.
  • Foster a culture of belonging, cooperation, and openness by communication across differences and supporting diversity, equity, and inclusion.
  • Serve as Scheduling Committee Chair meeting with campus partners bi-weekly to discuss upcoming events and collaborate with campus partners.
