Scope of Position

In this highly visible role, the Administrative Assistant/Front Desk Administrator's main focus is working the receptionist desk. This includes checking-in guests visiting the corporate headquarters, routing phone calls and mail to the appropriate EDF Renewable employees, and performing other administrative functions as requested.

Responsibilities
    Manage the front desk, answering and routing phone calls on a daily basis. Check in visitors and/or vendors and contact appropriate personnel. Distribute incoming mail to employees, collect and post out going mail daily. Manage both incoming and outgoing shipments via UPS, FedEx and other shippers. Assist with large mass mailing projects as needed. Manage and distribute incoming digital faxes. Keep corporate office phone and mail distribution list up to date.
  • Manage appropriate tickets in ticketing system for shipping. Have in-depth knowledge of UPS and FedEx shipping processes and support adds and deletions as required.
  • Manage visitor cards for visitors and/or vendors and keep visitor badge log current at all times.
  • Provide assistance with ProWatch, the access card control software, to manage visitor access cards and gym access.
  • Assists facilities department in daily management of routine vendors such as vending machines, coffee/beverage, shred, interior plant representatives, etc.
  • Assist with orders of all office supplies for the corporate headquarters and keeping the copy centers and coffee/beverage stations stocked and clean at all times.
  • Assist with basic processing of purchase requisitions, purchase orders, and invoices in SAP accounting system.
  • Other duties as assigned.

Working Conditions:
85% of time is spent in the office environment, using computers (frequent use of various Microsoft software/programs), phones, and general office equipment. 15% of time is spent walking around the office to ensure break and copy rooms are stocked, helping fellow employees, escorting vendors, and attending department meetings.

Work Mode: On-site in Rancho Bernardo/San Diego, CA

Qualifications

Education and Work Experience

  • High school diploma or equivalent.
  • Minimum of 1 related administrative and front desk experience in a corporate office setting.
  • Basic knowledge of the Microsoft applications to include Outlook and Excel.
  • Excellent communication, organization, and interpersonal skills.

A major plus...

  • Knowledge of SAP to include processing invoices and setting up purchase orders and purchase requisitions.
  • Three years of related administrative and front desk experience in a corporate office setting.

Physical Requirements:

  • Ability to lift and/or move 25 lb. objects.
  • Ability to be on their feet for occasional portions of the day.

Pay Range: $23.00 - $29.00 Hourly
