Overview

This position is a hybrid role with in person expectations for weekend shifts. 

The Program Coordinator I will provide centralized support to ancillary clinical scheduling programs for DFCI’s Yawkey Center. Under the direction of ACO Yawkey Practice leadership, this position will serve as scheduling and operations support for the Weekend Clinic and Procedure Suite at DFCI. They will work closely with clinic leadership and the other Clinic Operations Program Coordinator to provide comprehensive support for both programs as well as any other projects and cross coverage needs that may arise. This position will be partially remote with in person expectations for weekend shifts.

Responsibilities

Program Coordinator I – Clinic Operations

  • Coordination of administrative scheduling functions of Yawkey Center ancillary clinics. Primarily, the Procedure Suite and Weekend Clinic.
  • Maintain a high level of expertise in scheduling for Weekend and Procedure Suite. This includes understanding and enforcement of complex guidelines in both programs.
  • Acts as on-site support for front desk operations for the Weekend Infusion Clinic. Including but not limited to (assisting patients with check-in, RTLS management, triaging phone calls and pt requests, working with the charge RN for scheduling adjustments, offering other forms of administrative support).
  • Establish and develop strong working relationship with key stakeholders in ancillary clinical scheduling programs.
  • Manage complex scheduling to maintain clinic volume limitations while ensuring excellent patient care.
  • Act as a liaison between provider groups and stakeholders to ensure clear communication and cohesive scheduling.
  • Acts as back up support for all administrative scheduling functions of Yawkey Center ancillary clinics. These primarily include Weekend, Procedure Suite, and Desensitization programs.
  • Create and maintain administrative tip-sheets and tools for ancillary scheduling programs.
  • Other duties, as assigned 

Qualifications

  • Bachelor’s degree required. 
  • 2 years of scheduling/customer service experience required.
  • Experience working in a customer service setting preferred. 
  • Proficiency in technology and complex computer systems.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Excellent interpersonal skills and the ability to communicate and relate effectively with diverse groups of patients, medical personnel, and research staff via in-person, phone, and e-mail contact
  • Strong computer skills, including proficiency with Microsoft Office Suite and Epic
  • Dependable, motivated, and willing to learn new processes and procedures as needed
  • Detail oriented with excellent organizational, communication, problem-solving, and time management skills
  • Must possess the ability to multi-task and problem solve in real time
  • Must possess ability to operate independently and as part of a team
