Overview

To provide administrative support to assigned Institute leaders who have broad and extensive responsibilities and/or oversight. Tasks may include complex calendar and travel management, liaising with other Institute executive support colleagues in the facilitation and or planning of meetings/events, establishing best practices for the department, and/or independently completing projects as assigned.

Responsibilities

  • Provides general administrative support, including editing and preparing documents and correspondence that may be highly confidential or politically sensitive in nature to leaders this position supports
  • Utilization of discretion when dealing with executive, as well as internal and external customers.
  • Facilitation of advanced communications support, including call triage, email correspondence, and zoom/MS Teams technical assistance.
  • Planning and coordination of meetings and schedules. May coordinate conferences or other group meetings. 
  • Participation in coordination of department/program activities.
  • Assurance of timely preparation and delivery of reports and other documents.
  • Management of the executive’s calendar.
  • Coordination of departmental coverage as needed.
  • Possession of exceptional customer service.
  • Performs high level project work.

Qualifications

  • Bachelor's degree or equivalent experience or training preferred. College level course work highly desirable.
  • 2-3 years experience in an office setting required, preferably supporting a senior executive or professional group.
  • Experience working in an academic medical/scientific research setting or comparable technology-oriented business environment is highly preferred.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Possession of excellent communication skills, both written and verbal.
  • Demonstrated ability to draft reports, correspondence and other administrative documents.
  • Ability to organize and carry out complex scheduling of meetings is required.
