Introduction to the job

This internship will be part of the Internal Communications department and located in our San Diego, CA office, that is home to more than 2,000 employees. The individual's primary task will be to help us build out resources that enable our San Diego and Silicon Valley stakeholders in self-service. In a growing company, not everything can be handled by the Communications team with a white-glove approach. This means we have to continually find ways to share our knowledge and experience in a valuable training or process for stakeholders to utilize themselves.

The intern will own the build out of "how to" documents that detail out the steps of throwing non-Communications events for our two main California sites. They'll be responsible for coordinating with other departments to acquire all the relevant information, organizing it into the best digestible manner, and getting it posted on the Communications portal. They will also be asked to source multiple options for event planning vendors that could serve as company partners for further event support as needed.

In addition to the two primary project deliverables, there will be experience in the local implementation of two global events and overall Internal Communications support in focus areas like department communications and channel management.

Role and responsibilities

  • Gather cross-functional information that covers all details of how to throw an event at specific office location

  • Organize into logical categories and flow

  • Partner with Communications team in our Netherlands office to publish details on Communications Portal

  • Find several local event planning entities that would fit our corporate needs (potentially in partnership with procurement)

  • Serve as lead-up support for local San Diego and Silicon Valley implementation of two global events, day-of event support in San Diego.

  • Assist with department Internal Communications support as needed

  • Assist with channel management as needed or appropriate - ex: posting to our TV messaging network, editing/building SharePoint or Unily sites, etc.

  • As time allows, tackle additional "how to" projects for the local office implementation/specifics of Communication Portal employee guides and resources

  • Other duties as assigned

Education and experience

  • In the process of completing a Bachelor's or Master's degree in Communication, Business, or other relevant field

  • Experience in event planning or support a plus.

Skills

  • Exceptional writing and communication skills; clear, concise and professional. Secure grasp of spelling, grammar, writing mechanics, and punctuation.

  • Results-driven - demonstrates ownership and accountability and delivers on commitments with attention to detail.

  • Ability to work across departments using influence without control

  • Aptitude for digital tools like Microsoft Forms, content managements systems, intranet programs.

  • Proficient use of all Microsoft Office suite programs.

  • Able to take in chaotic information and turn it into a simplified story, process, or pitch.
