DESCRIPTION

Provides support to a direct report of the senior leadership; ensures front administrative processes and office operations run smoothly in the executive's office. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Key Responsibilities: Oversees and ensures the daily administrative operations run smoothly for the executive's office; Forwards situations and issues presented by staff, faculty and external constituents to appropriate staff members for resolution; Participates in the development and implementation of efficient and effective systems for managing information, projects and communications to ensure accurate and timely responses; Implements related business processes; Functions as the gatekeeper, understanding the requirements of the executive, in order to prioritize issues according to urgency and to allocate time for scheduled events, travel and meetings.

Makes high level contacts of a sensitive nature, internally and externally requiring discretion and diplomacy; Handles the details of a variety of matters on behalf of the executive; Responds to inquiries from faculty, staff, students and the public on behalf of the executive regarding organization operations, policies and procedures; Investigates issues and problems; drafts and prepare responses to urgent requests; Maintains a comprehensive database of initiatives and assignments; Organizes ad hoc committees appointed by the executive on a broad range of issues; Prepares confidential reports for senior staff, systemwide and other officials; Prepares responses to urgent divisional requests on behalf of the executive; Researches, compiles and summarizes issues, policies and topics; provides background information, talking points and briefing materials for the executive; Other duties as assigned.

MINIMUM QUALIFICATIONS
  • Bachelor's degree in a related area or equivalent combination of experience / training.
  • Three (3+) or more years of relevant experience.- Experience and able to demonstrate judgment in selecting and developing methods, techniques and evaluation criteria for obtaining appropriate results and resolution of organizational effectiveness issues.
  • Experience assessing complex situations, identifying desired improvements, working. with leaders to address issues and implement solutions in alignment with strategic goals
  • Professional level experience providing complex administrative support to a high-level executive.
PREFERRED QUALIFICATIONS
  • Healthcare experience preferred.
SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.
  • Employment is subject to a criminal background check and pre-employment physical.

Pay Transparency Act

Annual Full Pay Range: $61,800 - $108,000 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $29.60 - $51.72

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
