Summary of Position

The First Year Operations and Processing Coordinator will help lead efforts in verifying and supporting all functions of the UNH Undergraduate Admission Application process from the point of student inquiry through matriculation. This position will often act as a liaison between enrollment management offices, relevant UNH departments and third-party servicers.

The First Year Operations and Processing Coordinator must demonstrate appropriate leadership skills, technical skills and have great attention to detail to lead, train and assign daily duties for staff. This dynamic position requires organization, attentiveness, adaptability, leadership and understanding of the always changing undergraduate application process for varying student types. Skills the management of data, office management, office development, technology, event organization and the standard admission cycles are essential.

Technology used in processing applications includes SLATE, Axiom, PL/SQL, OCR/Anydoc, Web and Full client Xtender, Common Application, Ellucian Banner, Banner Work-Flow, Webcat, Degree Works, WinSCP, Salesforce CRM, Transfer Webadmit, Coalition, Microsoft Office Suite.

Other minimum qualifications

  1. 3-5 years of computer related and management experience, or a Bachelors and 2 years computer and management experience
  2. Should have minimal knowledge of Banner and Oracle tables for PL/SQL development to help Associate Director develop new processes for changing admission needs.
  3. Experience working with File Transfer Protocols (FTP) to move data files in WinSCP.
  4. Experience utilizing Document Manager Full Client and Web Xtender to create batches of documents received electronically or mailed from various agencies.
  5. Must be efficient and have high attention to detail; strict adherence to agreed timescales, procedures and regulations.
  6. Must respond positively to change, embrace new practices to adapt for the purposes of accomplishing changing business practices.
  7. Strong problem solving skills important for adapting to change.
  8. Analytical data skills and the ability to maintain application information throughout the admission process.
  9. Experience working in Higher Education Admissions Operations
  10. Some evening and weekend work required

Duty/Responsibility

  1. Manage daily production activities within the admissions office to include, but not limited to, application loading, decision processing, scholarship awarding/communication process, reporting (production, operational ad hoc and strategies)
  2. Manage daily UCR/Application Manager SQL error and validation reports to ensure data integrity.
  3. Manage the Banner Workflow process relating to application decision and issues concerning missing workflows and/or stops workflows
  4. Contribute to the development of SSD/Axiom changes to verify application uploads to Banner.
  5. Contribute to the continuous development of SLATE CRM to implement admissions workflow improvements
  6. Collaborate with Slate Administrator and relevant campus partners to ready software for annual production cycles. Requires testing and documentation considerations, as well as training for all operational staff in admissions office.
  7. Assist with the creation and development of comprehensive test plans to ensure Banner student upgrades and all associated (axiom, workflow, etc.) are tested and implemented properly.
  8. Develop, test and utilize Common and other application platforms for first year undergraduate types.
  9. Monitor data migration and works with various IT offices to insure systems are operating correctly.
  10. Ensure integrity of data by monitoring, interpreting and creating timely solutions for daily application data loads to Banner/SLATE
  11. Assist with the development of project plans for offices continued migration to technical changes in processing of applications, documents and data.

Duty/Responsibility

  1. In coordination with Senior Associate Director, manage reports to business services and students deposit refunds amounts for students who withdraw application prior to the start of the term. Manage official transcripts submitted to the university, verify authenticity, and record appropriately in student accounts.
  2. Manage athletic documents for pre-evaluation of admission.
  3. Manage print and mail to all Undergraduate Admissions snail mail communications. (100,000 annually)
  4. Manage process for pulling grading reports on adhoc basis from Banner.
  5. Manage New England Regional Compact list including working with NERSP, admission representative on correct majors and communication.
  6. Coordinate CEEB code creation for international and domestic schools using forms STVSBGI and SOASBGI forms. Also updates GPA work flow’s supplemental data engine field to bypass GPA workflow.

Duty/Responsibility

  1. Provide leadership, support and guidance to three permanent processing staff members
  2. Support the Senior Associate Director and provide cover as needed
  3. Develop and maintain documentation for always changing complex operational procedures.
  4. Assist with hiring and training of new staff members
