If so, we're looking for someone like you to join our team at APL.

 

We are seeking an Administrative Assistant to join our team of experienced professionals within the Office of General Counsel (OGC), where we will work together to support one of the country’s premier research laboratories to think boldly and support the nation on critical national security, space, and health missions.  

 

As an administrative assistant you will...

  • Work closely with attorneys, professional staff, and administrative staff within the Office of the General Counsel and throughout APL to provide legal, administrative, and related support integral to APL’s operations.
  • Produce outgoing legal forms and correspondence for attorney signature.
  • Assist attorneys with scheduling, calendaring, and travel arrangements.
  • Organize, manage, route, and prepare legal files and communications, including U.S. Patent and Trademark Office correspondence.
  • Prepare data for input into various repositories.
  • Maintain information on APL technology in an IP management system.
  • Provide support as needed to ensure effective operation of OGC.
  • Perform other duties as assigned.

Qualifications

You meet our minimum qualifications for the job if you…

  • Have at least five years of proven experience as an administrative assistant, to include experience as a legal secretary/legal assistant or other equivalent law experience with a law firm or in-house legal department.
  • Have a high school diploma or equivalent and a high proficiency with Microsoft Office and Adobe Acrobat.
  • Possess strong organizational skills and ability to prioritize among a wide variety of projects.
  • Have strong skills in data and internet research, written and verbal communication, and building professional relationships.
  • Possess strong inter-personal skills, including excellent verbal and written communication skills.
  • Possess a dedicated work ethic, sound judgement, professional demeanor, and be customer focused and discreet.
  • Possess an ability to work closely with a wide variety of staff of diverse backgrounds and levels, including all levels of management both within the organization and with government agencies
  • Have a demonstrated ability to work independently and be a standout colleague
  • Are able to obtain an interim Secret level security clearance by your start date and can ultimately obtain a Secret clearance.  If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

 

You will go above and beyond our expectations if you...

  • Have an Associate's or Bachelor's degree
  • Have experience working with intellectual property matters and USPTO systems.
  • Have at least three years of experience as an intellectual property administrative assistant.
  • Have experience entering trade authorization requests into the EASE database.
  • Have knowledge of research and development in a government contracting setting.
  • Are a notary public.
  • Hold an active Secret level clearance.
