DESCRIPTION

Under general supervision, the incumbent will work as Research Project Administrative Assistant II providing project-specific coordination and support for the Principal Investigator (PI), and research staff on research projects within the Department of Psychiatry. Responsible for administrative coordination of research project for lab to ensure the smooth operation of the project. Provide assistance for organizing events related to the project (scientific meetings, seminars, etc.). Coordinate maintaining and updating laboratory and projects websites. Provide assistance in interacting with UCSD functions (HR, Concur, Oracle, Marketplace, facility management etc.). Provide administrative support to PI, including maintaining documentation for grant submission (e.g. "Other Support"). Assist PI and senior lab members with student staff hiring. Coordinate and track purchasing according to UCSD requirements, order supplies and equipment. Perform a wide range of duties requiring confidentiality, discretion, tact, diplomacy, decision-making skills, and sound judgment.

MINIMUM QUALIFICATIONS
  • Excellent interpersonal skills, with ability to communicate effectively in person, on the telephone, and writing, with individuals and groups of widely varying educational, professional background, and ethnicity.

  • Proven skills to prioritize and pace multiple and complex responsibilities on several projects simultaneously on schedule while meeting deadlines. Ability to work effectively with frequent interruptions, fluctuating workloads, changing priorities.

  • Demonstrated experience providing full range of administrative support, including skill to coordinate complex activities and to use independent judgement to organize and prioritize office functions.

  • Knowledge of correct English grammar, spelling, punctuation, and word usage, skill in transcribing dictation, and skill in accurately proofreading work.

  • Proven ability to handle confidential and sensitive matters discreetly.

  • Knowledge of UCSD-specific policies, procedures and relevant rules and regulations pertaining to: inventory management; travel policies and procedures, travel events, documents and processing; entertainment; and event planner and express cardholders. Demonstrated ability to complete processes and forms thoroughly accurately and timely with appropriate follow-up.

  • Demonstrated ability to discern items that can be handled independently and those which require attention of supervisor.

  • Experience with budget preparation process for grant proposals and monitoring of budget expenses. Knowledge of basic accounting principles and how they relate to the budget process. Experience with accurate accounts receivable and payable.

  • Experience in contract and grant development and reporting, including federal grants. Experience with NIH and other grant organizations, procedures, guidelines and regulations.

  • Working knowledge of website design and maintenance (WordPress).

  • Demonstrated ability to facilitate partnerships and collaborations between individuals and organizations.

  • Proven ability to work effectively, with tact and diplomacy in all levels of personnel within the university and outside agencies/companies and to foster positive relationships.

PREFERRED QUALIFICATIONS
  • Experience in event organizing.

  • Working knowledge of reference editing software and LateX software for manuscript editing.

SPECIAL CONDITIONS
  • Employment is subject to a criminal background check.

  • Must be willing to work weekend and overtime as needed.

Pay Transparency Act

Annual Full Pay Range: $33,900 - $70,052 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $16.24 - $33.55

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
