Job Description:

The Westchester Educational Opportunity Center (WEOC), a division of Westchester Community College, is seeking an experienced, energetic, innovative, results oriented professional to join its team. Located in Yonkers, NY, this non-traditional adult education institution provides tuition-free academic and vocational training to eligible underserved adults seeking to develop basic academic and vocational skills competencies and credentials needed for enrollment in college and/or entry into the workforce.

Under the general supervision of the Assistant Dean of Student Affairs, the Office Assistant performs a wide variety of clerical and administrative support tasks and functions as an assistant to a number of administrative and professional staff persons.  The Office Assistant works with a high degree of independence in a fast-paced environment.

RESPONSIBILITIES: The Office Assistant (Word Processing-Spanish Speaking) coordinates office operations and assists unit administrator with general office support, including scheduling appointments, maintaining calendars, managing requisitions and office supplies, and assisting with special projects or initiatives as assigned. The incumbent also offers assistance in organizing and maintaining student files, documents, and other administrative records; interacts with and responds to requests from students, professional staff, and administrators; and assists Spanish-speaking individuals, providing guidance, information, and support regarding services, procedures, and resources. They will also set up and maintain automated records and filing systems; write announcements, emails, summaries, meetings minutes, and like correspondence; and assist in the planning, coordination, and execution of Student Affairs events, workshops, orientations, and other activities. The incumbent will contribute to logistical arrangements, communications, registrations, and provide on-site support during events as necessary. Maintaining a well-organized and welcoming front desk area as well as using computer applications such as Microsoft Excel (spreadsheets), Microsoft Outlook, and videoconferencing tools in performing work assignments is also required.


Requirements:

REQUIRED QUALIFICATIONS: Possession of a high school or equivalency diploma and three years of experience where a primary function of the position was performing general office/clerical work, two years of which must have included the use of computer applications to maintain automated records or produce correspondence, spreadsheets, forms, reports, or other documents is required. Full fluency in English and Spanish, both written and verbal is also required.  *This is a Civil Service position.  The final candidate will be required to take and pass the Civil Service Exam. *

PREFERRED QUALIFICATIONS:   Possession of a minimum of an Associate's degree or Microsoft Office Certification or course work in Microsoft Office applications strongly preferred.  Experience working in an educational institution also strongly preferred.


Additional Information:

POSITION EFFECTIVE:   The position will remain open until filled.

WORK SCHEDULE: The work schedule is Monday through Friday 9:00 a.m. to 5:00 p.m. (one evening a week from 11 a.m. - 7:00 p.m. is required).

SALARY & BENEFITS: The starting salary is $47,412.  Additional compensation with seniority steps maximize at a salary of $57,474.  Benefits include comprehensive health coverage, a choice of defined benefit or defined contribution pension plan, generous leave benefits, and access to tax sheltered annuities and a deferred compensation plan.
