Cenikor is a non-profit organization and one of the largest substance abuse treatment centers in the nation. We are currently seeking a Part-time HR Clerk in our Corporate location in Houston, Texas.

JOB SUMMARY:

Under the direction of the HR Manager, the HR Clerk handles all matters relating to timecard processing & timekeeping records for the Foundation, supporting new hire orientation & necessary paperwork needed for personnel file maintenance, as well as assisting with other HR duties as assigned.

Schedule: Monday-Friday (times will vary between 8-5pm)

ESSENTIAL FUNCTIONS:

 

 

  • Review timesheets in our HRIS system, ADP, for accuracy to ensure compliance with Cenikor policy.
  • Accurately enter and update employee time punches for Facility Support Center staff, and support other facilities’ timekeeping as needed, as well as reviewing PTO requests, updating recurring schedules and any other required timekeeping updates in ADP.
  • Respond to all requests for manual updates to the dedicate timecards inbox and ensuring updates have supervisor approval for update.
  • Respond professionally and in a timely manner to all timekeeping related requests for information from leadership and/or employees.
  • Review all timecards to ensure federal wage and hour law as well as Cenikor requirements are met for the entire Foundation.
  • Communicate with HR Manager, VP, CHRO and/or supervisors for excessive OT or timecard irregularities.
  • Communicate with HR Manager and ADP of any system irregularities or issues.
  • Provide a variety of timekeeping reports as needed including month end OT reports for Facility Director/Senior Manager/Program Director.
  • Work with HR Manager and/or HR Coordinator to assist in the pre-employment process by conducting oral swabs and background checks for potential candidates. Follow up with updates to the appropriate Talent Acquisition Specialist.
  • Assist with the onboarding process for all new hires starting at the Facility Support Center. This includes conducting New Hire Orientation, completing New Hire Paperwork and ongoing personnel file maintenance.
  • Assist HR Coordinator in creating new hire files in approved format every payroll period, ensuring all required forms are obtained and electronically saved. Following up with the facility contacts for any missing new hire paperwork to complete personnel files.
  • Assist with all HR filing maintenance and ensure all HR documents are filed in a timely manner.
  • Maintaining I-9 forms and supporting documents in separate files from personnel files, and audit I-9 files at least once a year.
  • Creating new employee badges as needed in a timely manner to be sent to facility staff with payroll packets.
  • Maintain strict confidentiality on all client, employee and foundation matters.
  • Perform additional duties as assigned and consistent with the non-exempt functions as defined in this job description.

QUALIFICATIONS FOR THE POSITION:

Skills, Knowledge and Abilities:

  • Knowledge of Microsoft Office & ADP system, including ezLabor, preferred.
  • Ability to act in a professional manner at all times, including exercising discretion, judgment and extreme confidentiality due to access to employee data.
  • High attention to detail and excellent organization skills required.
  • Ability to work with tenacity and resilience to achieve goals.
  • Propensity to work with numbers required.
  • Ability to communicate effectively with corporate and facility staff.

Education:

  • High School Diploma or GED required
  • College degree preferred

Experience:

  • Previous ADP systems experience preferred
