Human Resource Assistant

Job Description

 

Job Objective: To support mission advancement through procedure application, task performance and customer support as defined in the essential functions section of this job description.

 

Essential Functions:

  • Manage hiring process including position posting, application review, criminal background checks, Motor Vehicle Report check, employment verification, budget verification, and employment approval
  • Maintain recruitment management system
  • Manage The Salvation Army Driver Qualification Program including DOT driver compliance
  • Maintain divisional job description bank
  • Manage personnel record keeping system
  • Prepare and distribute weekly Hires-Terminations-Change of Status Report
  • Manage select components of the Safe From Harm program including database maintenance and notifying supervisors of new hire training requirements
  • Assist payroll coordinator with the processing of bell ringer applications during the Christmas fund raising campaign bell ringers
  • Respond to employment verification requests
  • Verify and process background check billing for payment
  • Prepare and participate in THQ & Federal DOT Audits
  • Prepare information for and actively participates in the THQ Background Check Audits
  • Prepare annual MVR update for insurance carrier
  • Complete special projects and projects as directed
  • Assist with Human Resource Generalist duties as needed
  • Serve as the primary backup for the HR Generalist
  • Perform additional duties as requested

Minimum Qualifications:

Education: High school Diploma or equivalent

 

Experience: A minimum of two years Human Resource and/or clerical experience

 

Certifications/Licenses: None

 

Skills/Abilities:

  • Ability to maintain a professional appearance and providing a positive company image to the public
  • Strong interpersonal and communication skills
  • Ability to analyze data and provide recommendations
  • Knowledge of federal and state employment and benefit laws
  • Ability to respond effectively to the most sensitive inquiries or complaints
  • Knowledge of Human Resource systems, advanced skills in Microsoft software to include Word, Excel, and PowerPoint
  • Ability to operate in web-based HRIS platforms
  • Bilingual (Spanish and English) preferred
  • Compassion for people and the ministry of The Salvation Army
  • Ability to maintain a high level of confidentiality
  • Ability to function effectively with limited direct supervision, setting priorities while handling diverse and workload and to meet deadlines
  • Ability to recommend and embrace new approaches, policies and procedures to designed to improve the Human Resource Department's effectiveness and efficiency
  • Requires good organizational skills and a capacity for attention to details

Supervisory Responsibility: None

 

Physical Requirements: Include good speaking, hearing and vision ability and excellent manual dexterity. Ability to stand, bend and reach for extended periods of time, dexterity of hands and fingers to operate office equipment. May need to climb, balance, kneel, crouch or crawl. This position may require the ability to lift and/or move more than 25 pounds occasionally. Reasonable accommodation may be made to enable individuals to perform the essential functions of this job.

 

Travel: None

 

Driving: Driving is not required

 

Working Conditions: Work is performed in a typical office environment. Moderate noise level in a business office setting.
