Posting Summary
Rutgers School of Public Health (SPH), is seeking an Administrative Coordinator for Registrar’s Office located in Piscataway, NJ. Under the direction of the Registrar, the Registrar Coordinator assists with daily administrative activities. Demonstrates organizational skills, and detailed recordkeeping skills. Responsible for data entry, integrity of student data, processing of registration, enrollment verification, transcript requests, and other forms as required. Maintains high standard of accuracy in the records of all current students and alumni, including the information in the student information system. Acts as liaison to campus administrators and faculty from all campuses of the School of Public Health. Provides customer service, and performs other responsibilities as required by University policies.
Among the duties will include:
  • Maintains the accuracy, confidentiality, and integrity of the student’s academic file, including paper and digital files.
  • Processes all registration requests, including cross-registration and visiting student registration.
  • Maintains the student’s academic program by processing program transfers and concentration changes.
  • Processes transcript requests, enrollment verification, loan deferments and residency status changes.
  • Responsible for student data entry in the Banner student information system.
  • Processes student enrollment changes including leaves of absence, student withdrawals and maintaining matriculation requests.
  • Assists with completing graduation audits and mailing diplomas for all graduating students. Participates in annual Convocation ceremony activities.
  • Assists with maintaining the School’s academic catalog.
  • Processes grade changes, transfer credit evaluations, follows up on missing grades and students with incomplete grades

Required Knowledge, Skills, and Abilities
  • Bachelors’ Degree plus two (2) years of administrative experience
  • Additional related experience may be substituted for the degree on a year for year basis.
  • Must demonstrate proficiency in Microsoft Office applications (Word, Excel, Power Point and Access)
  • Familiarity with Banner or equivalent database system experience is required
  • Ability to interpret and apply federal and state regulations pertaining to student records and confidentiality, including the Family Educational Rights and Privacy Act (FERPA) is also required.
  • Ideal candidate must possess strong organizational skills with ability to multi-task, proven communication skills, interpersonal skills, and attention to detail.
Preferred Qualifications
  • Two (2) years of professional level experience in a university setting is preferred.
  • Proficiency in industry related software is desirable.
