Job Summary

The DPBS Space Manager is a vital role in the Department for operations that requires a high level of skill, versatility and initiative. The main responsibility of this position is to support the Associate Chair for Operations in managing and executing various tasks and projects related space allocations and management. The DPBS Space Manager will collaborate with different stakeholders within and outside the department, handle multiple assignments with efficiency and accuracy, and develop solutions and strategies for improving the operations of the department. The DPBS Space Manager will also assist the Associate Chair in developing policies and benchmarks for overseeing space management their supervision. The position serves as a key contact point for faculty, staff and departmental leaders on all matters related to space allocation and management. The position requires independent judgment and decision-making to address complex issues and situations in a strategic manner.

Space management is a crucial function that involves managing and oversight of space assignment, reviewing, and problem solving. The Space manager is responsible for allocating and optimizing the use of physical space in various settings, such as offices, conference rooms, consult rooms, wet lab space, etc. This position also monitor and evaluate the performance and efficiency of space utilization and make recommendations for improvement. Space managers perform general management activities such as long and short range strategic planning to aid in the Department’s missions. This position collaborates with stakeholders from different functions and levels to ensure alignment of space needs and objectives. Space managers also identify and resolve any issues or conflicts that arise from space allocation or utilization.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The Department of Psychiatry and Behavioral Sciences is one of the largest departments in the School of Medicine. The Department’s mission is research (basic, translational, clinical), teaching, patient care and public service. The Department has an organizational structure that crosses all major UCSF sites – Parnassus, Mission Bay, ZSFG, VAMC, and Dogpatch campus. The Department is large and administratively complex. It is the only department at UCSF with a State originated and funded institute—Langley Porter Psychiatric Institute—which in turn has a separately licensed hospital—the Langley Porter Psychiatric Hospital (LPPH). The Department has an annual operating budget of over $130 million, and total staffing of about 800, which includes approximately 200 paid faculty (including VAMC faculty), 25 Emeritus and recall faculty, 30 MSP physicians, 110 residents, fellows and postdoctoral scholars, 450 staff, and 225 volunteer faculty. Over the next five years, the Department of Psychiatry and Behavioral Sciences will undergo significant changes, which include at least doubling its clinical services, moving its home and the ambulatory clinics of the LPPH to a new building and aligning its operational processes to integrate with UCSF Health systems so the Department can adopt the funds flow model.


Required Qualifications

  • Bachelor's degree in related area and minimum five years of related  progressive experience  / or equivalent experience / training
  • ​​3-5 years’ experience managing space at a university or Corporation
  • Advanced interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills

Preferred Qualifications

  • Advanced knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management
  • Advanced knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines
  • Advanced knowledge of common University-specific computer application programs
  • Ability to use discretion and maintain confidentiality
