PROGRAM COORDINATOR (FIXED DURATION/TEMPORARY)

The School of Medicine's Dean's Office has an outstanding opportunity open for a Temporary Program Coordinator . This position is expected to last until June 30, 2024.

Under general supervision, the program coordinator will assist in the entry, review, compilation and reporting of faculty-related data.  The data includes demographic, appointment and compensation-related information for over 10,000 regular, research, clinical, acting, visiting, and teaching professorial faculty and postdoctoral scholars within 32 School of Medicine departments.

General Duties Include:

Data Entry and Records Management

• Monitor appointments in Workday until successfully completed and EID is assigned, in order to input information into FIS.
• Compile faculty data into the Faculty Information System (FIS) database through both manual entry and uploading of files, while reviewing the accuracy of data from standard UW forms (CVs, practice agreements, NAMs, etc.).  in addition to specific School of Medicine forms (Intake Forms, WWAMI Data Forms, CTMs, etc.) . Assure that data from different sources is consistent.
• Create Medical Staff (MEDStaff ID) numbers and forward documentation to OMSA and CUMG/UWP as needed.
• Assist with the review and processing of state-legislated faculty salary increases and other faculty salary increases that may occur.
• Perform complex workload prioritization independently based on needs of the unit and current workload.
• Load and digitally file faculty data into DocStar/Eclipse (DS/E), the SoM faculty filing system.

Data Analysis and Reporting

• Audit and maintain accuracy and consistency of data through routine verification procedures.  Research and resolve any inaccuracies or inconsistencies.
• Produce standard financial summaries, statistical reports, rosters and lists, including the AAMC Roster report which provides data for LCME and US News and World reports.
• Provide analysis of data as needed; select datasets; download data; manipulate information using Excel in order to look at trends or respond to specific inquiries.
• Assist in the development of additional reports as needed.

Other programmatic activities

• Communicate with departmental fiscal and academic HR staff, other AAC staff, practice plan, and OMSA in order to resolve questions.
• Distribute emails to SOM faculty on behalf of the Dean’s Office.
• Coordinate the development, compilation and documentation of policies and procedures for data entry staff.
• Train and direct some activities performed by student assistant(s) who reports to Faculty Affairs Manager.
• Attend bi-weekly Data Entry Team meetings.
• Attend monthly AAC staff meetings.
• Perform other related duties as required/assigned.

Requirements:

High school graduation or equivalent AND two years of clerical experience OR equivalent education/experience.

Additional Requirements:

Ability to work in a complex unit and manage large amounts of confidential documentation, data and inquiries in a highly detailed manner.  Strong organizational and computer skills.  Experience with large, complex databases including data entry.  Familiarity with Microsoft Office products, specifically Outlook, Window, Word, and Excel. Effectiveness in reconciling multiple sources of financial data.  Ability to work independently to meet goals with established deadlines.

Desirable:

Basic understanding of University of Washington faculty payroll procedures.
