Job Description Summary

Provide program support of the PSOM Inclusion, Diversity, Equity, and Learner (IDEAL) Research Office, including support for Faculty Directors for the Penn Post-baccalaureate Research Education Program (PennPREP) and Penn - Postdoctoral Opportunities in Research and Teaching (PennPORT). Report to the Assistant Dean for Inclusion Diversity and Equity in Research Training and the Faculty Directors of PennPREP and PennPORT and work closely with program faculty directors, graduate student fellows, and administrative staff in associated offices (including BGS, BPP, MSTP, Finance, & Provost).

Job Responsibilities

  • Admissions.  Facilitate PennPREP and PennPORT under the direction of the research training programs Faculty Directors. Specific duties include:  developing and reviewing program application in Penn admissions system; ensuring application guidelines are clearly communicated on IDEAL Research and/or PennPORT website;  interfacing with admissions system to collect application materials from candidates; facilitating streamline review of PennPREP applications by Recruitment Ambassadors by developing and communicating admissions review timelines; facilitating streamline review of PennPORT applications by ad hoc admissions committee that includes BPP leadership by developing and communicating admissions review timelines; reviewing and updating evaluation tool for applicants; ensuring research training programs applications and admissions decision records are complete; generating admissions reports as needed; serve as point of contact for affiliate programs to PennPREP.
     
  • Postbaccalaureate Research Training Program Support. Facilitate planning and scheduling of  PennPREP events under the direction of the research training program Faculty Directors and in collaboration with IDEAL Research Fellows, including: matching scholars with prospective PIs, scholar  and mentor orientations, IDEAL Research PennPREP Fellow weekly meetings,  scholar weekly check ins, lesson plan development for professional development sessions and workshops curriculum, scholar IDPs, scholar presentations, Penn symposia, regional symposia, social events, affiliate programs point of contact.
     
  • PennPREP Onboarding.  Facilitate PennPREP participant onboarding logistics under the direction of the Faculty Directors including but not limited to, scholar travel to and from Philadelphia for program participation, scholar travel to and from conferences, PennPREP scholar health services access if needed, PennPREP scholar PennCard access, scholar building access, purchasing PennPREP scholar laptop computers, registering PennPREP scholars for courses.
  • Penn - Postdoctoral Opportunities in Research and Teaching (PennPORT) Support. Facilitate planning and scheduling of PennPORT events under the direction of the research training program Faculty Directors, including: scholar and mentor orientations, PennPORT Scholar meetings,  registration for teaching requirements, assist with placements at partner scholar presentations, travel to and from and registration for national symposia, and social events.
     
  • PennPORT Onboarding.  Facilitate PennPORT participant onboarding logistics under the direction of the Faculty Directors and in collaboration with BPP.
     
  • Office Management. Working closely with IDEAL Research Administrative Coordinator and BGS Finance Office, track program expenditures and reimbursements for PennPREP and PennPORT.

Qualifications

We are looking for a dynamic individual to assist with the coordination of programs to advance inclusion, diversity, and equity in biomedical research. A bachelor’s degree and and 3-5 years of experience in STEM or equivalent combination of education and experience required. (PhD in biological science preferred preferred) A background in science-related discipline and experience with academic programs is preferred. The ideal candidate will have a strong service-orientation supported by excellent interpersonal skills, facile multitasking capabilities, data management abilities, strong computer skills, experience with social media and strong presentation, writing, and editing skills. Close attention to detail and procedures related to expense reports is required. Some evening and weekend work will be required. Candidates should be willing and able to travel as needed.

$43,919.00 - $60,000.00 Annual Rate
