We currently have a great opportunity for an Administrative Coordinator to support the dynamic research laboratory of Dr. Taekjip “TJ” Ha, newly relocated to Boston Children’s Hospital. The position will work with Dr. Ha, his team, and members of a collaborator lab that shares space with them. The Ha lab team analyzes single molecules to understand how they act in complex biological systems. They combine sophisticated biophysical manipulation techniques with fluorescence imaging to visualize and manipulate protein, RNA, and DNA molecules. Probing these molecules allows the researchers to decipher such innate properties as a molecule’s “bendability” and how it binds and interacts with other molecules. More information on the lab can be found by visiting https://sites.google.com/site/taekjiphalab

We are targeting someone who enjoys working independently and proactively anticipating the needs of their team. This role is an integral part of the lab and will be responsible for supporting Dr. Ha and the team with a wide variety of administrative responsibilities.

What you’ll do:

  • Maintain calendar and appointment schedule

  • Update Harvard style CVs and maintain standard documents for grants and seminars (short CV, photo, W9, biosketch, etc.)

  • Support logistics accommodations for lab visitors (seminar speakers invited by the lab, postdoctoral candidates, rotation students, visiting students, visiting scholars) such as booking transportation and hotel rooms, arranging meals, and handling reimbursement

  • Purchase supplies and equipment for the lab

  • Assist with recommendation letters, lab record maintenance, and other necessary document management

  • Manage travel arrangements and reimbursements (conferences, seminar trips) for Dr. Ha and lab team as needed

  • Identify what should be done through PCMM and HHMI offices and delegate those functions to them

  • Maintain communication with JHU as needed (Dr. Ha’s former institution)

  • Monitor the budget and serve as a responsible steward of the lab’s funds

  • Organize grant annual report/final report and faculty annual report to BCH and HMS

  • Organize semesterly lab cleaning, events, and parties

  • Coordinate annual updates to lab safety certificates and maintain laboratory standard practices documents


What you bring:

  • A bachelor’s degree or an equivalent combination of education and work experience is required.

  • Significant previous administrative experience is required, preferably in a research or academic environment

  • Strong writing and computer skills, including demonstrated proficiency with Microsoft Office Suite

  • Strong proactive, self-motivated approach to work with an eagerness to learn and grow

  • Excellent communication skills and the ability to use good judgment in working independently, showing initiative, managing time, balancing multiple priorities, and responding to requests

  • Ability to work well with a wide variety of people at all levels and from all backgrounds

  • Any familiarity with grants and scientific terminology would be a plus

Physical Requirements

Compensation Range

$69,190.00 (minimum) - $86,500.00 (midpoint) - $112,420.00 (maximum)

Pay Type:

Annual

HHMI’s salary structure is developed based on relevant job market data. HHMI considers a candidate's education, previous experiences, knowledge, skills and abilities, as well as internal equity when making job offers. Typically, a new hire for this position in this location is compensated between the minimum and the midpoint of the salary range.
